About the Position:

This role is an on-campus, in-person position.

This administrative coordinator is a direct report to the Senior Associate Dean of the Meadows School of the Arts.  Responsibilities will include monitoring and filing all faculty related activities, producing academic division and school-wide reports and assisting in accreditation activities at the school level. This position will monitor faculty lifecycle including requests for positions, completion of contracts, assist with faculty leave requests, retirements, and separations. The Coordinator will also monitor promotion & tenure progress, oversight of data warehousing and other matters related to faculty activity as assigned by the Senior Associate Dean.

Essential Functions:

Maintains and monitors files of complete faculty lifecycle.

Maintains files for position requests, maintains and completes contracts for all positions.

Monitors and provides reporting on Promotion & Tenure and coordinating Interfolio activities through competition.

Assists with maintaining and monitoring faculty leave requests.

Maintains annual file of faculty awards and honors, separations and retirements.

Reviews and maintains an annual file of requests for new/replacement faculty positions and completes contracts for said positions.

Communicates nominations for faculty senate, maintain file of Senators and updates faculty/staff directory.

    Qualifications  

Education and Experience:

A Bachelor’s degree is required.

 

A minimum of five years administrative support experience is required. Experience in higher education, tracking and reporting student accreditation data is preferred.

 

Experience working with survey software (i.e. Qualtrics) is preferred.

 

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.  

A strong proficiency in Microsoft Word, Excel and Outlook is required.

 

Knowledge of Box or other cloud-based file storage is required.

 

Knowledge of database software and queries (i.e. Filemaker, PeopleSoft) is preferred.
