Department Summary

The College of Arts and Sciences (CAS) is the hub of learning, research, and academic excellence at the University of Oregon. CAS is organized into multiple Academic Service Units (ASUs), each housing staff and managers who provide administrative, strategic, and operations support to multiple academic departments in CAS.

What you will do in this position

Positions filled from this posting will provide support for either undergraduate programs or graduate programs within their assigned ASU, and in some cases, may provide support for both undergraduate and graduate programs.

Whether serving undergraduate programs, graduate programs, or both, these program coordinator roles support students within the assigned Academic Support Unit (ASU), and assist our Academic Programs Managers with administrative tasks and special projects, developing in-depth knowledge and expertise to consistently coordinate and administer program operations and special projects in assigned areas.

These positions are a primary, day-to-day point of contact for students, responsible for independently communicating with individuals and groups at all levels of the university to research and interpret information. These positions oversee and coordinate the administration of undergraduate/graduate programs within the assigned ASU, providing guidance to students and faculty related to curriculum, application requirements, academic planning and scheduling, and special programs.

Examples of special projects could include development/refinement of advising procedures, designing and publishing printed and online materials for recruitment purposes, and course schedule development. Special projects typically require independent research, analysis, review, and interpretation. Undergraduate/Graduate Program Coordinators may initiate and/or propose such projects and studies, or be assigned projects from Department Heads, Directors, or an Academic Programs Manager; coordinators will be supported to take responsibility for projects from set-up through completion and have near-exclusive control of many projects.

These positions will report directly to the Academic Program Manager assigned to their area, as part of the Academic team within the ASU. Decisions likely to be made in this position include implementing departmental priorities, developing procedures, appropriately interpreting and applying established policies and procedures, and recommending appropriate actions regarding confidential issues such as curricular exceptions, petitions, transfer course articulation, and graduation.

What you need to qualify (minimum requirements):

  • Three years of office experience which included two years at full performance level and experience generating documents; and
  • Lead work responsibility or coordination of office procedures.

  • Ability to manage multiple priorities, solve problems, and stay organized, with keen attention to detail.
  • Exhibit a high level of interpersonal communication skills to handle sensitive and confidential situations with tact and diplomacy.
  • Ability to understand and follow guidelines, policies, and procedures.
  • Skilled in Microsoft Office, Word, Excel, PowerPoint, and Outlook; ability to learn other specialized software.
  • Demonstrated ability and/or commitment to working with faculty, staff, and students from diverse backgrounds in support of an inclusive, welcoming environment.
  • Ability to work effectively under the pressure of deadlines and competing demands.
  • Adaptability in an environment of change.

    It is preferred, but not required, to have (preferred qualifications):

  • Experience working in higher education.
  • Experience identifying, analyzing, and tracking large volumes of data/information on an ongoing basis while correcting identified discrepancies.
