Duties and Responsibilities
· Maintain third-party contracts in Student Accounts Shared Drive and office email accounts
· Scan all employer provided financial authorization and tuition assistance forms to the Share Drive and apply third party sponsor indicators to student accounts.
· Responsible for direct invoicing of vendors and military agencies
· Calculate tuition/fees for students, submit invoices for eligible VA Education benefits, and tracking purchase orders (PO) using the Tungsten portal.
· Utilize TA military invoicing portals such as ArmyIgnited to process educational benefits
· Audit bookstore receipts for accuracy and supporting documentation prior to billing. Work with bookstore manager staff to resolve any discrepancies identified
· Oversee the application of payments to accounts via Cashiers or R*STARS state report, monthly reconciliations, chargebacks to students, and processing third-party refunds for overpayments or changes in registration/enrollment
· Maintain collections on past due vendor accounts
· Provide elevated customer service to all third party vendors and students by providing timely responses to inquires related to invoicing or payment(s)
· Perform semester and end-of-year reconciliation of third-party receivables
· Maintain knowledge of federal and state legislation, policies, procedures, and benefits to ensure compliance with regulation governing veteran student benefits
· Work with departmental team for cross-training of basic third-party information to continue elevated customer service during absences
· Assist as liaison with students and other university departments as is relates to third party billing or other Student Account or University matters
· Perform additional duties as assigned.
Minimum Qualifications
Education
A Bachelor’s degree is preferred.
Experience
One (1) or more years work experience with Veterans Administration (VA) education benefits, to including experience utilizing portals such as Tungsten Network and ArmyIgnitED AI. One (1) or more years work experience in financial operations or bookkeeping. One (1) or more years in a customer service environment. (All preferred)
Knowledge Skills and Abilities
· Knowledge of Veterans Administration(VA) regulations concerning educational benefits and invoicing
· Ability to plan, organize and meet deadlines, work under pressure, and manage multiple projects or tasks concurrently
· Attention to detail and analytical skills
· Ability to communicate effectively both in writing and orally to staff, students, and senior administration.
· Strong professional, communication, interpersonal, and human relations skills
· Experience with highly automated financial management systems and the processing required to work within these systems i.e. PeopleSoft Student Financials
· Knowledge of Generally Accepted Accounting principles ( GAAP )
· Knowledge of higher education billing and receivables systems
· Knowledge of QuickBooks cloud-based software
· Demonstrated ability to use PeopleSoft, Microsoft Word and Excel
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substitution for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
