Position Details
Reporting to the Associate Director of Student Involvement, the Clubs & Organizations Coordinator works collaboratively as a member of the Student Affairs division and provides support for WSA Recognized Student Organizations.

The Clubs & Organizations Coordinator is responsible for the day-to-day management of WSA recognized student organizations.

Specific responsibilities include:

Supervision:
  • Supervise Office Assistants and Campus Activities Board student staff
  • Assist with student employee management and training

Student Advising:
  • Advise the Community Committee (CoCo) of the WSA to approve student organizations and make sure they are in alignment with university policies and procedures
  • Alongside CoCo, plan and coordinate Light the Torch/Pass the Torch Leadership Lunch series
  • Coordinate Wesleyan Student Assembly ( WSA ) elections process with the WSA Chief of Staff
  • Assist WSA Community Committee with student group registration / renewal process
  • Assist student organization leaders with their individual training

Administrative:
  • Oversee and maintain the web-based student organization administration system (WesNest)
  • Coordinate the annual Student Involvement Fair
  • Assist in coordination of major university events such as Orientation, WesWOW, Fall Fest, Winter Weekend, WesDay / Spring Concert, and Senior Week
  • Provide support and assistance for student leadership projects overseen by the Student Assembly Leadership Board
  • Purchase capital items for student organizations and maintain Inventory Tracking System
  • Assist with contract management process by helping maintain online contract requests/inquiries utilizing the web-based student organization administration system and email
  • Help oversee student organization budgets
  • Manage and maintain the department website
  • Participate in department planning activities and assists with the development of department goals and objectives
  • Ability to work some nights and weekends

  • Other duties as assigned

This position is located on campus in Middletown Connecticut.



Minimum Qualifications
Bachelor’s Degree and a minimum of two years related experience or an equivalent combination of education training and experience.

Familiarity with advising organizations/student groups.

Demonstrated experience providing excellent customer service.

Prior experience working both independently and as part of a team.

Effective communication skills.

Demonstrated ability to work on multiple projects effectively and simultaneously in a fast-paced environment.

Demonstrated experience in successfully using a variety of computer software applications.

Ability to successfully work independently, organize own work, and coordinate work activities of others.

Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.
Preferred Qualifications
Master’s Degree. Higher education work experience. Previous budget management experience.
Supervisory experience.
