Job Summary:
Reporting to the Vice President of Advancement, the Assistant Vice President of Advancement Services & Operations is responsible for the strategic oversight, management and development of advancement services systems and staff, including database and systems management, gift processing and reporting, prospect research, and advancement reporting and analytics. Advancement Services is the backbone for fundraising success within the University tasked with identifying and improving systems aimed at efficiency and effectiveness of prospecting, donor reporting and stewardship, and retention.

Major Duties and Responsibilities:

Essential Functions:

1. Serve as a strategic thought partner to the Vice President of Advancement and other members of the advancement leadership team in setting and realizing division goals around effective and efficient use of data to enhance fundraiser capacity and ROI and deliver on excellent donor service.

2. Manage Advancement Services staff, budgets and vendors to maximize employee effectiveness and satisfaction and deliver on excellent internal customer satisfaction across UA.

3. Provide leadership and strategic oversight on Advancement data analytics for leadership and board reporting (monthly, quarterly and annual reporting), as well as strategic application of data analytics for CQI across the division.

4. Oversees gift entry, receipting and reconciliation processes and staff to ensure gifts are recorded in compliance with donor restrictions and IRS requirements, including collaboration with finance office and Controller regarding gift processing and financial reconciliation and streamlined data transfer between departments meeting both CASE and GAAP/UPMIFA standards.

5. Oversees strategic prospect research and donor/prospect portfolio development and moves management systems to maximize major gifts portfolios and facilitate enhanced donor upgrade strategies.

6. Primary responsibility, in collaboration with ITS, for Advancement CRM database management, including the development and implementation of data management policies and standards, and for department-wide database onboarding and CQI training.

7. Serves as a liaison with the IT department of the University to ensure improvements to the database, testing, and updates on security.

Minimum Qualifications:
  • Bachelor's degree from an accredited institution of higher education.
  • Eight (8) years of progressive experience in Advancement/Development services and operations.
  • Experience with prospect research and moves management systems.
  • Expertise in managing fundraising database systems and reporting tools.
  • Understanding of CASE/UPMIFA reporting standards and IRS charitable contribution rules.
  • Three (3) years of management/supervisory experience


Preferred Qualifications:
  • Master's degree from an accredited institution of higher education.
  • Direct experience in fundraising in a higher education setting including, annual giving, alumni engagement, major gifts, stewardship, planned giving, prospect research, reporting and analysis, prospect management and capital and comprehensive fundraising campaign structures.
  • Experience with data analytics tools such as sequel, power BI, tableau.
  • Ability to communicate with technical staff and non-technical staff.
  • Understanding of data analysis and the ability to make business decisions and develop strategies based on the analysis.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.

Pay Rate:
$105,000 to $120,000 / annually commensurate with qualifications
