Job: Director of Advancement & Alumni Programs

Reports to: Executive Director, Donor and Constituent Engagement

Department: Advancement

JOB OVERVIEW:
The Director of Advancement & Alumni Programs oversees and directs select college-wide events for both on campus and alumni constituents.

Working with campus partners, the Director is responsible for the creative development and implementation of programs and events that foster and nurture lasting relationships between Carthage College and its alumni and donors, such as Homecoming & Family Weekend, Alumni College, reunion events, etc.

For college-wide events, the Director leads the planning, execution, and documentation of events such as Commencement and high-profile speaker series and other events and programs. The Director reports to the Executive Director, Donor and Constituent Engagement (ED).

AREAS OF RESPONSIBILITY:
Duties include, but are not limited to:

Advancement Events
● Lead strategic planning, from creative ideation, to execution and documentation of events designed for both internal and external audiences. These include events of all sizes ranging from commencement and campaign celebrations to small donor recognition and stewardship events.
○ Provide creative support to broad-based fundraising initiatives such as Giving Day, campaigns, and other special programs as determined by the ED.

● Conduct research and collaborate with the Advancement team to develop, advise on, plan strategies for, develop budgets for, and oversee scheduling for major Advancement events and functions.

● Collaborate with the director of stewardship and ED to create targeted event marketing
materials.

● Adhere to appropriate College event planning protocols by working with campus partners (Facilities, Campus Safety, Finance, etc.). Developing a strong ability to establish and cultivate effective campus partnerships will be critical to the success of these programs.

● In collaboration with the ED, develop a plan to recruit internal and external event volunteers.

● Develop strategies to meet KPIs or strategic goals for all events and programs.
Alumni & Family Engagement

● In collaboration with the ED and the Advancement team, develop programming and ensure the success of alumni and family events both on-campus and off-campus, such as Homecoming & Family Weekend, Alumni College, reunion events, off-campus networking, virtual and other affinity-based events.

● In partnership with the ED, develop and maintain an ongoing constituent engagement program that incorporates metrics for success demonstrated through event attendance. Successful volunteer management will be a key to success.

● In partnership with a team, develop and manage a social media strategy designed to increase alumni engagement with the overarching goal of increasing alumni engagement with the College.

● Support the ED in managing the work of the Alumni Council and its four working
committees, including managing event volunteer efforts.

● Facilitate the planning and execution of reunion events along with a committee of alumni.

● Supervise and train alumni interns to carry out engagement tasks (e.g. sympathy cards, alumni notes, creating IDs, recognizing alumni birthdays, etc.).

SUPERVISORY RESPONSIBILITIES : Supervises student employees.

MINIMUM QUALIFICATION REQUIREMENTS:
● Bachelor’s degree required

● Minimum of five years higher education advancement, non-profit sector, or related experience preferred

● High energy, self-motivated and self-directed

● Demonstrated success with special event and project management; strong organizational and time-management skills and attention to detail

● Ability to prioritize and complete multiple tasks and work with deadlines in a dynamic environment

● Demonstrated ability to organize and collaborate with large committees required

● Demonstrated volunteer management skills required

● Demonstrated proficiency in all aspects of budget management and processes

● Excellent oral and written communication skills

● Strong skills in word processing and relational databases

● Ability to work flexible hours as needed for occasional special events; ability to travel as needed

Specific vision abilities required by this job include close vision and the ability to adjust focus.

Work is performed in an office environment in a variety of work locations throughout the Carthage Campus. The noise level in the work environment is moderate and typical of a campus office environment. This varies based on occasional work travel environments.
