Position Summary

Portland Community College's Education and Human Services pathway seeks an Instructional Administrative Assistant III (IAA-3) to support the Education and Human Services department. Administrative competence is important, but more important is an enthusiasm, interest, and ability to collaborate across departments and pathways to foster an exceptional service experience to PCC students, partners and internal stakeholders.

The Education and Human Services Pathway serves students, faculty, industry partners, and community members. Education and Human Services offers a variety of programs, activities, and services in career technical education fields and is an integral part of the educational mission of PCC.

Reporting directly to the Education and Human Services Program Dean, the Instructional Administrative Assistant III provides an exciting opportunity for a collaborative, inclusive, and enthusiastic candidate to support the daily operations of Education and Human Services programs. The position requires an ability to think and plan strategically, balance multiple priorities, and work with multiple stakeholders among the campus. In addition, the Administrative Assistant III will accomplish goals and priorities that further the department's mission and vision of creating a college climate that demonstrates PCC's commitment to civil rights, diversity, equity, and inclusion.

The IAA-3 tracks all budgets, payroll, hiring, and employment for the Education and Human Services programs. The IAA-3 helps with programming events on campus including logistics (purchases, room reservations, AV, and catering), supports faculty and staff onboarding, responds to student inquiries, oversees assigned projects, and coordinates and works with external industry partners.

Candidate Profile

These qualifications, skills and abilities are critical for success in this position.
Throughout the screening process, you will be evaluated based on the demonstration of these qualifications.
  • Experience using computer applications at an advanced level including Microsoft office, Google workspace, Banner, and internal data management, and advanced proficiency utilizing a variety of technical modalities, video conferencing/virtual meeting platforms, and other data management systems.
  • Experience tracking and monitoring multiple funding streams & grants (federal, state, foundation), including budget & reporting responsibilities. Demonstrated ability to track data driven performance outcomes.
  • Experience providing complex guidance serving as a liaison or representative in dealings with students, faculty, and both internal and external customers, including assistance with conflict resolution and issues that may be sensitive in nature.
  • Knowledge of career technical education.
  • Experience working in a diverse team with multiple job titles/specialties across locations and modalities.
  • Demonstrates awareness of one's own cultural background and how it influences perception, values, and practices and how these perceptions, values, and practices shape one's relationships with others
Minimum Qualifications

To be considered, your application must demonstrate these minimum qualifications. (Experience is calculated based on the start and end dates you provide multiplied by the number of hours per week worked).
  • High school diploma or equivalent
  • Five years of administrative support experience OR two years in a position equivalent to IAA II (Note: College or business school training may be substituted for up to two years of the administrative experience requirement.)
Other equivalent combinations of experience and training will be considered.

Important Knowledge and Abilities:

Knowledge of: Contemporary office practices, procedures and techniques; spelling, vocabulary, math and grammar skills; desktop computers and other assigned software and electronic resources including the Intranet and Internet, basic customer service standards and principles; other office resources and equipment including phones and telecommunications systems, fax machines, copy machines, TTY devices; the administrative requirements associated with delivering academic programs and services in an educational environment.

Ability to: Develop and maintain effective working relationships while also maintaining an appropriate level of confidentiality; maintain a reliable and dependable attendance record; provide effective and responsive service to department staff, faculty, students and the public; perform all assigned tasks efficiently and accurately; create and maintain accurate records; possess and demonstrate the required level of proficiency in desktop computers and other assigned software or electronic resources, including the Intranet and Internet, as assigned; learn and utilize Banner or other information systems and databases; create and maintain accurate and up-to-date records.

Starting Salary Expectations
The first two steps of the range are: $50,821 to $52,343 per year. Higher salary placement may be available based on qualifications, experience and internal equity.

Working Conditions and Physical Requirements
Work is generally performed in an office environment with frequent work interruptions or changes in work flow. Occasional lifting, guiding, or carrying of light-weight materials or equipment may be required. Position involves sitting for extended periods of time while working at a computer terminal. Learned physical skill is required to perform keyboarding and/or ten-key functions
