Overview
Department of Civil and Environmental Engineering (CEE) at Princeton University advances understanding of the Earth as a complex system influenced by human activities, and informs solutions to local and global challenges by conducting groundbreaking research across disciplines and by preparing future leaders in diverse fields to impact a world increasingly shaped by climate change. The Project Coordinator provides administrative coordination and communications support for two related research activities: the HydroGEN-Machine Learning Convergence Accelerator Project and the HydroFrame Project; and also supports research activities of faculty leading the Integrated Groundwater Modelling Center. The HydroGEN-Machine Learning Groundwater Convergence Accelerator project brings together hydrologists, data scientists, machine learning (ML) experts, software engineers and user-centered design specialists from multiple institutions to make groundwater data accessible and to improve hydrologic forecasting with ML. The project is funded by the National Science Foundation and is headquartered at Princeton University. The HydroFrame Groundwater Modeling project provides a platform to facilitate easy interaction with large computationally intensive hydrologic models and numerous simulated outputs. The tools produced through this initiative enable users to subset model inputs and outputs for any watershed in the U.S, run their own simulations and visualize and analyze existing model outputs or newly generated results. It also develops free interactive educational tools and lesson plans to teach students of all ages about groundwater and the hydrologic cycle. Combined, both projects involve over 40 researchers from several academic and government institutions and two software companies. The Project Coordinator provides direct support to the two co-PIs, one faculty member at Princeton University, and the other at the University of Arizona. The individual also indirectly supports and interacts with contributors to both projects including faculty, researchers, graduate students, and government and software company collaborators. The Integrated GroundWater Modeling Center (IGWMC) is housed within CEE at Princeton and is a hub for national-scale hydrologic research, and facilitates engagement between more than 5,000 professionals, academic researchers, government research laboratories and agencies who use numerical models to simulate the hydrologic cycle for a wide range of applications. The IGMWC puts on the long-running, MODFLOW and More conference series every other year in Princeton that brings together around 200 individuals and represents one of the largest applied hydrologic modeling conferences in the world. The IGWMC also facilitates numerous short courses designed to help transfer knowledge between academics, researchers and practitioners. The IGWMC also has a vibrant education and outreach program and has developed a suite of modules designed to help the public better understand our challenges around water. The projects are fast paced, involving numerous players, with tight deadlines. The position requires a mature individual with a professional demeanor who works well both independently and as a member of a larger team. The individual assuming this role is expected to be a self-starter with strong aptitude for problem solving. Creativity and flexibility to take on a variety of assignments are highly desired characteristics.
Responsibilities
The Project Coordinator’s primary responsibilities include:

Track and review some
communications from the project sponsor (i.e., NSF) via email,
slack, NSF portal, box and determine what information needs to be
shared with the project team and in what platform (google
drive/calendar, slack, or email). Ensure information is properly
communicated.
Participate in multiple
meetings each week; record and post action items; and follow-up as
needed.
Maintain several project
calendars, including coordinating the calendar of Project PI.
Project Coordinator assists with scheduling and organization of
meetings under the direction of Project PI and collaborators.
Assist in the preparation
of meeting notes, presentations, regular progress reports,
agendas.
Facilitate annual project
and IGWMC reporting and assist HMEI staff in tracking expenses
Facilitate access to
resources enabling the project including technical support as
appropriate. Create, maintain and utilize numerous project-related
communications software platforms (Zoom, Slack, Google drives,
google and outlook calendars).
Facilitate the MODFLOW
and More Conference, which occurs every other year.
Responsibilities include, but are not limited to, budget planning
and tracking, organizing and reserving all event services (i.e.,
event space booking, catering, facilities, equipment rental,
photography, public safety, AV services, etc.), arranging lodging
for Scientific Advisory Committee (SAC) and keynote speakers and
hotel blocks for attendees, booking travel for keynote speakers and
the SAC, and organizing abstract submission and conference
sessions.
Manage the day-to-day
operations of the IGWMC, such as monitoring the IGWMC email
account, maintaining the mailman list, and ensuring the IGWMC
website is current.
Arranges travel on behalf
of visitors, plans itineraries, and prepares associated expense
reports.
Qualifications
- Minimum 3 years of related experience (may include experience as undergraduate science major or graduate work in related scientific field).
- Demonstrated interest in scientific research.
- Must be flexible and able to work autonomously.
- Excellent communications, both written and oral. Strong interpersonal skills and an ability to interact effectively with broad constituencies including faculty, researchers, students, administrators and the external community.
- Team player. Ability to take initiative, prioritize, multitask, work independently, and meet deadlines. Must be able to handle high pressure situations with tact and calm demeanor.
- Essential skills include proficiency in communications and project management software. Applications include Microsoft Office (Word, Excel, PowerPoint), Google applications, Box, Slack, Zoom.
- Experience in a university or corporate environment.
