Location

Our West Campus is located at 2400 Gillionville Road, Albany, GA 31707. Our East Campus is located at 504 College Drive, Albany, GA 31705. The Human Resources office for both campuses is located on the West Campus in Building K, Suite 111.

Job Summary

Albany State University seeks a highly qualified Senior Executive Assistant to the President to work closely with the President and her executive team to ensure the mission and goals of the University are achieved.

This Senior Executive Assistant to the President exercises initiative and independent judgment in managing the President's schedule and the office's daily activities. The person in this role is also required to interface daily with senior administrators and executives, public and private officials, students, and parents. The role requires the management of the day-to-day operations of the Office of the President, ensuring key operational and administrative functions are carried out successfully. The successful candidate must demonstrate a thorough knowledge of University policies, procedures, and operations and an understanding of the University's role within the community.

Responsibilities
  • Plans, direct, coordinates and manages daily operations of the Office of the President
  • Facilitates the efficient utilization of the President's time through a calendar of appointments, meetings, social engagements, and University and community functions
  • Greets and receives visitors to the President's office, responds to inquiries and referring inquiries or problems to the appropriate area, and resolving problems
  • Assists with development and management of the budgets under control of the President's Office
  • Coordinates the flow of incoming and outgoing communications by receiving, routing, and/or responding to and determining the appropriate receiver
  • Solve complex problems; identify innovative solutions.
  • Work independently, with minimal guidance
  • Review correspondence and documents prepared by other offices for the president's signature
  • Facilitates meetings, prepare agendas, disseminate pertinent information, and follow up on necessary matters
  • Organize and prioritize critical issues
  • Supervisor staff in the Office of the President to include student scholars
  • Creates systems and processes to prioritize requests and activities, determine which require the direct involvement of the President
  • Forecasts needs, requirements, and direction for operational changes and advises the President on potential issues
Required Qualifications

Bachelor's degree in a related field

Five years (5) years of work experience in assisting a senior level staff

Other Required Qualifications
Proven project management skills with experience managing to deadlines, ability to understand and address interdependencies and competing preferences, manage various stakeholders, and familiarity with efficient systems and processes.
Advanced proficiency of email, database and spreadsheet software and other relevant office programs
Excellent organizational, conflict resolution and problem-solving skills
Strong research, writing and presentation skills
Exceptional written and oral communication skills
Proven troubleshooting skills as demonstrated from application materials, references and professional work history
Exceptional interpersonal skills including the demonstrated ability to develop and maintain constructive and professional relationships with University administrators and staff, campus leadership, University constituents and partners.
Demonstrated abilities as a self-starter; comfortable shaping the role in the future to ensure the most impact to the University.
Proven experience in a business management role, with a special focus on executive-level advising and interdepartmental collaboration.

Proposed Salary

Salary range is from $60,000 to $70,000

In-depth knowledge of the Office of the President and University while building relationships with the President, staff & faculty, University leadership, and other constituencies Exercise sound judgment and excellent discretion

SKILLS
Remain attentive to detail and well organized.
Manage and prioritize multiple complex projects while meeting deadlines
Communicate sensitive information diplomatically both verbally and in writing to individuals at all levels
