The Student Services Coordinator supports the Office of Student Services. This individual is responsible for coordinating student events and serving as the primary contact for the Office of Student Services. Work assignments are received with only broad statements of objectives and are performed under general supervision. This position requires extensive contact with students, staff, faculty, parents and the public. Work is done with considerable independence within established policies and guidelines and reviewed by superiors through reports, conferences, and observation of results. The position reports to the Associate Dean for Student Services

DUTIES AND RESPONSIBILITIES:
Independently manages, plans and participates in School of Pharmacy events, such as Cosmas & Damian Feast Day Celebration, the Pharmacy Advocacy and Professional Development Class Trip, Market Square Health and Wellness Fair, and the Substance Use Disorder Awareness program.
Arranges appointments with Capitol Hill legislators as part of the annual Advocacy and Professional Development Class Trip to Washington, D.C.
Assists with planning of freshmen and first professional year pharmacy school orientations and White Coat Ceremony.
Processes student travel requests and reimbursements.
Runs monthly reports for Student Organization budgets that are housed at the University for each advisor.
Assists with annual Student Organization audits.
Serves as primary interface and point of contact between the Office of Student Services and its faculty, staff, students, other departments of the University, and external constituents.
Maintains and updates the Professional and Graduate Student Canvas site to include student intern employment opportunities and other announcements; sends approved email blasts to the appropriate parties.
Diffuses potentially difficult situations that may arise when dealing with student and parent situations before they escalate.
Responsible for general correspondence, including confidential matters.
Exercises tact, discretion, and confidentiality in the processing of sensitive material.
Maintains School of Pharmacy Master List and Class Rosters.
Coordinates the submission and tracking of student pharmacist intern and pharmacist licensure applications.
Prepares reports as necessary for the School.
Serves as the liaison between the student organizations and their advisors to the Associate Dean for Student Services.
Manages student organization event planning activities and monthly reports; assists in the preparation of annual reports to the School and University.
Records Student Advisory Council minutes.
Approves student organization fundraising activities and events.
Provide reports in the format requested, including but not limited to financial reports and budgets, enrollment statistics, technology inventory, and information for the school annual reports (webform & excel spreadsheet), etc.
Provide regular updates and maintain a current section of the school’s intranet; the school website (by submitting updates to the Marketing Manager); and the department’s annual calendar
Completes other duties as assigned.
Bachelor’s degree in a related field from an accredited institution.
3-5 years of relevant work experience.
Prior experience working in higher education.
Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
Knowledge of administrative practices and techniques.
Ability to establish and maintain professional, effective working relationships with students, faculty, staff and University personnel.
Ability to prepare and maintain complex administrative records for the Student Services Office and the School.
Ability to work independently on important and confidential assignments and administrative tasks.
Ability to handle high-level secretarial/administrative work including composing effective and accurate correspondence, efficient problem solving and communication skills.
Strong computer skills, including knowledge of the MS Office Suite; knowledge of Banner is desired.
Ability to meet deadlines.
