About the Opportunity

Reporting directly to the Associate Director of Graduate Admissions, the Assistant Director serves an integral role in the growth of the Enrollment Management department and is responsible for administering and monitoring the implementation of the graduate application processing unit that processes more than 50,000 graduate program applications per academic year to facilitate the enrollment of talented adult undergraduate and graduate students at Northeastern University. This position is a hybrid position.

The Assistant director will be accountable to manage Part-time or full-time employees or student work studies and their daily/weekly/monthly metrics for application processing, scanning of documents, review for application file completion, and coordinate any notifications to applicants through our automated admissions communication systems and number/quality of student interactions via phone and email against measurable targets. The role is also accountable to initiatives across Enrollment Management units, including International Enrollment Management, Enrollment Counseling, Enrollment Services & Operations, and Recruitment. The successful incumbent will be a team player with a strong work ethic and demonstrated ability to successfully work independently, actively contributing to the office welfare in a high volume, fast-paced environment. The Assistant Director will monitor resources and respond to any technical/operational issues, student employee attendance, and daily performance management. Proven ability to work collaboratively across units with urgency, sensitivity, and responsiveness to the needs of diverse constituencies.

To effectively coordinate an admission application, the individual will maintain meticulous records of the application requirements and admissions protocols for the various undergraduate, graduate, and doctoral programs the university offers. The position will also be responsible for ensuring a high level of client services by maintaining an efficient, streamlined application process and providing backup assistance for other service departments as needed.

This position will also work closely with the Director and Senior Director of Graduate Admissions, Enrollment Systems and coordinate with the Graduate processing team to ensure smooth, efficient, and effective functioning of the application processing operation with overall responsibility for managing the key functions of administrative support, daily attendance, payroll, quality control, performance evaluation and motivation of part-time application processors while overseeing workflow priorities and system improvements. They are part of a team responsible for the application process, transcript evaluation review, coordination with college partners and program faculty directors, admission selection, and decision release quality control. They serve on the enrollment/ admission management team and assist in developing and implementing office policies and procedures, actively contributing to the office welfare.
  • A minimum of a bachelor's degree is required.
  • Prior experience working in higher education and experience managing a large student workforce a plus
  • At least two years of supervisory experience required
  • 2 to 3 years of experience in admissions and application processing, college admissions, and/or other customer service organizations.
  • Any experience in transcript evaluation, CRM use for admissions, counseling, customer service experience is also preferred.
  • This position will require a flexible work schedule, including some nights and weekends, and the willingness to travel on an occasional basis is necessary.
  • Proven ability to work independently, excellent communication and presentation skills, sensitive and responsive to the needs of diverse constituencies, and managing goals.
  • Experience working CRM application management process and system including but not limited to AY application systems, Salesforce, TargetX, Slate, and ERPs, including Banner for an educational institution
  • Ability to multi-task and handle a wide variety of job duties and prioritize based on the supervisory direction
  • The candidate will need to be experienced and proficient with Microsoft Office suite.
  • Excellent organizational, counseling and communication skills are required.
