Description:
The Office of Facilities Management at Pratt Institute is seeking a Coordinator for Operations/Administrative Assistant with excellent administrative skills who is a creative problem-solver and technically competent. The ideal candidate will demonstrate the ability to proactively identify and address the daily needs of the office to ensure smooth and responsive operation, and will handle departmental activities such as maintaining files, providing general clerical support, and maintaining computer/office equipment and the work order system.

On a typical day, you will:
  • Serve as receptionist/ dispatcher for the department.
  • Prepare purchase requisitions, maintain purchase order records and submit invoices for processing
  • Manage work order system data input, scheduling of work and reporting of status updates including key requests through the computer maintenance and management system (CMMS).
  • Create preventative maintenance (PM) templates to ensure that PM routines are recorded and scheduled through the Computer maintenance management software.
  • Submit service requests, and maintain records and daily log for the vendor maintenance activities and service call requests.
  • Respond to requests and inquiries from students, staff, outside agencies and organizations.
  • Maintain time records and serve as backup for weekly payroll processing.
  • Generate correspondence, and prepare requests for quotes, contract agreements, and other communications as needed or directed.


This is an OPEIU Local 153 Clerical position. The salary range is $54K - $54K + negotiated increase. This position offers generous benefits.


Qualifications:
Education: Bachelor's Degree preferred.

Experience: At least two (2) years of administrative experience. Prefer higher education administrative and/or construction or facilities background and budgeting experience.

Skills: Excellent written and interpersonal communication skills, proficient in computer software, MS Office application (Excel, Word).

Other: Excellent organizational, problem-solving, and negotiating skills; must demonstrate the ability to interpret and effectively communicate policies and procedures to individuals at all levels.
