Overview

The Space Physics Group in the Department of Astrophysical Sciences at Princeton University conceives, designs, develops, calibrates, and flies cutting-edge space instrumentation on NASA missions. The on-site Space Physics Lab is a space instrument laboratory as well as a teaching laboratory for undergraduate and graduate students.

We’re looking for a dedicated and reliable person to complete a variety of document control and administrative tasks for this vibrant group of researchers, engineers, technicians and administrators. This is an opportunity to play an important role in supporting the science and education related to the NASA IMAP mission that will launch in 2025.



Responsibilities

Parts Clerk

Serve as the primary point of contact to gather and enter detailed information into an online form called a “traveler” that tracks highly specialized space-flight parts as they are moved to/from storage and within the lab.

Ensure that “traveler” records are complete and accurate, because these records are subject to audit.

Follow-up with technicians, engineers, and researchers to gather information and signatures.

Complete data entry in a customized electronic system that tracks the purchase and storage of parts.

Scan documents and organize electronic files according to the established filing system.

Support the Business & Procurement Manager and Operations & Compliance Manager with other related tasks as assigned.

Procurement and Shipping Assistant

Assist the IMAP Communications/Outreach Team with preparing “Outreach Kits” that will be assembled at Princeton and shipped to various locations across the country, such as science museums.

Conduct web searches to find the best products available in Princeton’s Marketplace and other online searches to meet the criteria provided for Outreach Kits.

Maintain an up-to-date list (in Excel) to track the status of purchases ordered, received, and shipped.

Receive and inspect incoming orders, track their storage location until they are ready to package and ship.

Prepare mailing labels and contents of shipping boxes and schedule pickups.

Assist with other Accounts Payable (A/P) activities such as data entry related to Purchase Order (PO) requests and process invoices in an online system.

Provide other support as requested related to the organization, logistics, and execution of Outreach events.

Other Duties

Support special project requests from the Space Physics team as needed.



Qualifications

  • A minimum of a high school diploma and 1- 3 years of relevant experience
  • Proficient with Microsoft Office suite applications such as Word and Excel, as well as the desire and ability to learn other electronic information systems used for data entry and reporting
  • Prior experience that demonstrates attention to detail and organizational skills
  • Excellent interpersonal skills and ability to communicate effectively with professors, researchers, staff, students, and external vendors
  • Demonstrated ability to take initiative, be flexible and thrive in a fast-paced environment
