Data & Student Services Associate or Sr. Data & Student Services Manager

About the Opportunity

Candidate will join the Data & Student Services Associate group on the COE Departmental Co-op team and will be hired at either entry or senior level, commiserate on experience.

The Data & Student Services Associate group provides support to the College of Engineering (COE) Assistant Dean/Director, Co-op Leadership, and faculty Co-op Coordinators in the day-to-day workflow and effective operation of the co-op program, assists Co-op Coordinators with projects to prepare students and guide co-op employer partners through the hiring process, and manages data reporting and administrative support for a growing fast-paced team.

The Data and Student Services Associate will focus in two key areas:

Data and Operations Support
  • Assist with evaluating student hiring, events, and progress to university goals and initiatives by
    • Developing advanced reports, sometimes from multiple data sources
    • Creating and disseminating forms and surveys to collect information
    • Analyzing, summarizing, and/or visualizing data/information through Google Apps, Excel, and other applications
  • Coordinate efforts to uphold the completeness and integrity of data in various co-op systems; serve as liaison with central co-op technology team.
  • Maintain relevant student and co-op databases including Banner, Argos, Salesforce and Symplicity.
  • Develop communication materials and manage distribution of timelines, reminders, events and surveys for employers and students.
  • Support work-study and/or Career Peer programs; effectively delegate projects and ensure completion to meet deadlines.

Student & Employer Support
  • Assist with preparation of co-op class materials; provide support for Canvas course administration and course enrollment activities.
  • Review employer evaluations and student self-assessments of the student co-op work experience.
  • Lead and/or assist with organization of co-op related events and on-campus employer interviews.
  • Conduct industry research on companies and opportunities that align with the college's job development efforts.
  • Review and comment on student guided inquiries, updating Co-op Coordinators; review status of responses and send reminders as needed.


Data & Student Services Associates may be reallocated to different teams within COE Departmental co-op depending upon business needs.

The Senior Data & Student Services Manager (DSSM) will have increased responsibility in the areas of complex data projects, technology initiatives, program processes, and training and development of Data & Student Services Associates (DSSA) and other co-op team members. The Senior Data & Student Services Manager will collaborate closely with the team's Assistant Director for Data Strategy to coordinate efforts in these areas. Additionally, they will interface seamlessly between colleagues, students, employer partners, and leadership to ensure the success of the co-op program.

In the addition to the DSSA responsibilities described above, the Senior SSDM will have the following additional responsibilities:

Complex Project Support & Senior Level Responsibilities:
  • Complete complex data-related projects requested by the Assistant Dean/Director and Co-op Leadership in support of college and university goals and initiatives
  • Develop advanced reports, frequently combining and transforming data from multiple sources
  • Leverage Python (or equivalent) to automate report generation, where appropriate
  • Serve as a lead or co-lead on any new computer/data/software initiatives and/or transitions (Symplicity, Tableau, Navigate, SurveyMonkey Apply, Help Scout, etc).
  • Develop and organize technology-related training manuals and educational materials for COE co-op faculty and staff
  • Lead efforts to document processes and procedures to ensure seamless continuity of program operations during periods of transition
  • Collaborate with Data and Student Services Associates and other staff's direct supervisors to provide coaching and development, as needed
  • Liaise regularly with university Information Technology Systems (ITS) group and the Registrar's office on behalf of the COE co-op and disseminate information
  • Oversee the development of business processes to ensure efficient and effective workflows of Sr. DSSA, DSSA, and administrative staff tasks

Qualifications:

  • Data & Student Services Associate
    • Bachelor's degree or minimum 2 years of equivalent professional experience in an academic or business/industry environment
    • Applicant must demonstrate strong organizational and time management skills, including attention to detail and the ability to manage multiple projects and complete tasks for many different people
    • Candidate should enjoy problem solving and be very good at troubleshooting
    • A high level of proficiency with technology including Excel (complex formulas and logic)
    • Excellent verbal and written communication skills are expected.
    • Willingness and desire to learn and contribute to the design of new processes, systems, and tools.
    • Proven success working both independently and as a member of a team in a fast-paced and diverse environment.
  • Senior Data & Student Services Manager
    • In addition to the qualifications above, the Senior candidate should have the following:
    • Bachelor's degree required, with interest in pursuing an advanced degree program related to computer science, data science or data analytics
    • Candidate should have a minimum of 3-5 years of relevant professional experience in an academic or business environment.
    • Experience writing complex SQL queries to retrieve information from large data sets
    • Experience or exposure to Python and/or R a plus
    • Demonstrated success in leading independent projects
