Position Overview

The Academic Affairs Department at Menlo College seeks applications for the position of Assistant Registrar. This is a full-time, 12-month exempt position in the Office of the Registrar. This position reports to the Senior Registrar. The descriptions of responsibilities below are intended to be a descriptive but not necessarily all-inclusive list of specific responsibilities. The Assistant Registrar position requires accountability and responsibility for all activities regarding the management of the Office of the Registrar's daily activities and is service driven, which requires overseeing the assistance and communications to students and staff/faculty for various needs. Each academic session requires enrollment processing, drops/adds/withdrawals, course registration, course and grade roster generation, and transfer credit evaluation/entry. This position will also require regular updating of the Advising Aims, and course codes using the Jenzabar platform, and supporting our student population, including supporting our student Veterans with the processing of enrollment certifications/reporting. In addition, this position will maintain the budget for the Office of Academic Affairs, and other services. These duties require regular and effective communication with the following campus offices: Academic Affairs, Office of Admissions, Office of Financial Aid, Academic Advising, Student Affairs, and the Business Office. Regular office hours are from 9 am to 5 pm, Monday through Friday, selected Saturdays and some evenings. Must be able to work in an open office setting and be in constant contact with the public.

 

Responsibilities

• Ensure contact information for current and former students are updated in a timely manner

• Review, validate, and post transfer units for newly admitted students and on-going/re-entry students, and update advising worksheets as necessary

• Process educational verifications, and ensure transcript requests are processed in a timely manner

• Update Advising Worksheets regularly in Jenzabar to ensure courses are degree applicable, and process student’s waivers and substitutions as needed

• Assist in generating the academic calendar and course schedule in Jenzabar and ensure is accurately reflected on the student portal, including start/end dates for academic sessions and appropriate enrollment/registration deadlines

• Oversee all student services/requests and resources, including managing Registrar email, phone, appointments calendar, front desk traffic, and updating online forms/resources on student portal including FAQ

• Perform registration audit each semester upon receipt of final grades and ensure students are dropped appropriately if prerequisites are not met

• Review and process waitlist adds

• Communicate with students as necessary for any registration related actions including administrative adds, drops, and registration instructions

• Maintain the confidentiality of each student's education record in accordance with federal law and College policy, manage the FERPA release records

• Assist with student services as needed, helping students with basic financial aid and billing questions, registration, and academic questions

• Assist in the daily supervision of student worker(s), ensuring daily items are performed in a timely manner with all responsibilities listed above.

• Order Fall and Spring diplomas and fulfill diploma replacement orders, ensuring accuracy of printed information and shipping addresses

• Receive and process invoices for the Office of Academic Affairs. Prepare expense reports for the Dean(s) and faculty

• Track monthly budget expenditures for the department's various budgets, including faculty development funds. Acquire appropriate approvals and make sure forms are properly completed with receipts attached whenever necessary.

• Work with OAA staff and vendors to make appropriate purchases; responsibly manage P-card usage and complete monthly Concur reports

• Communicate with the Business Office on behalf of the OAA regarding policies and various questions as they come up

• Liaise with eCampus online bookstore and assist faculty to upload their textbooks each semester. Load book loan funds for students on the eCampus portal

• Manage faculty group email

• Perform other duties as assigned

 

Qualifications

• A minimum of a bachelor's degree with a preferred emphasis in higher education, counseling, or information management

• Previous academic experience preferred, especially in management of student information systems

• 1-2 years related experience

• Knowledge of Jenzabar student information software preferred

• Knowledge of Salesforce software preferred

• Computer proficiency

• Excellent communication and organizational skills, and ability to multi-task in a busy office

• Ability to think critically and collaboratively to resolve challenging issues

• Understanding of diverse populations and capable of addressing sensitive situations

• Creative thinker with a growth mindset preferred
