Administrative Specialist
Position Description
The Administrative Specialist is a grant-funded position that contributes to the operation of the TRIO Programs, inclusive of Student Support Services ( SSS ) and McNair. Direct assistance is provided to the TRIO staff while performing advanced administrative duties to support the goals and objectives of the department. Duties, processes, and procedures are performed in line with grant expectations as delineated by the supervisor.
Some specific duties include:
A High School diploma is required with a minimum of four years of professional work experience as well as computer proficiency with a strong emphasis on the Microsoft Office Suite, Google Platform, and data management. Individual must possess demonstrated exceptional organizational and recordkeeping skills as they are critical to meeting federal guiding principles. Demonstrated strong data entry ability as well as working knowledge of standard office equipment; demonstrated ability to take initiative and practice autonomy, exercise good judgment, and handle confidential information; communicate effectively. Demonstrated solid public relations and interpersonal skills; communication skills; work successfully with administrators, faculty, and students. Demonstrated customer service skills to meet the needs of students and their parents; assess the needs and requirements of students upon arrival and direct them respectively. Demonstrated problem-solve and operating independently ability, prioritizing and organizing own work schedule, multi-task; collaborating in providing ongoing guidance to paraprofessional staff and student workers, and performing under pressure exercising professionalism at all times.
Position Preferred Qualifications/Experience
Associate’s or advanced degree. Thorough competence in information processing and data management as well as working knowledge of university platforms such as Banner, Canvas, MyRider, and other student and institutional data retrieval tools. Familiarity with Survey Monkey for survey/assessment purposes.
Experience working within a student-facing and student-engagement environment, and with a diverse student population to include first-generation, under-resourced and underrepresented individuals. Familiarity with federal TRIO grant funded programs such as SSS and McNair.

Position Description
The Administrative Specialist is a grant-funded position that contributes to the operation of the TRIO Programs, inclusive of Student Support Services ( SSS ) and McNair. Direct assistance is provided to the TRIO staff while performing advanced administrative duties to support the goals and objectives of the department. Duties, processes, and procedures are performed in line with grant expectations as delineated by the supervisor.
Some specific duties include:
- coordinating work with internal staff members to maintain the priorities of the department, helping meet program objectives, and ensuring optimal student service;
- co-supervising and supporting student employee(s);
- communicating via all methods (in-person, via phone, email, online platforms like Zoom or Microsoft Teams) with all levels of internal and external constituents. Serving as the first point of contact for the TRIO department to staff, students, parents, program consultants, University constituents, and the U.S. Department of Education – TRIO Program Specialists;
- processing financial/budget paperwork such as invoices, purchase orders, check requests, billing, petty cash reimbursements, and account deposits; and
- securely maintaining both paper and electronic versions of
student records, budgets and expenditures, program activity, and
other reports as required to meet ED requirements and institutional
requests.
