Purpose of Position
To provide administrative support for the College of Informatics ( COI ) academic schools and the Informatics Student Success and Advising Center ( ISSAC ).
Primary Responsibilities
To Provide administrative support for the College of Informatics ( COI ) academic schools and the Informatics Student Success and Advising Center ( ISSAC ).
Regular duties:
-First contact, along with student workers, for students and other visitors to the suite needing assistance for various requests and/or resolutions of problems
-Responsible for all phone inquiries being answered, along with student worker support, through departments’ general phone numbers
-Reconcile school and ISSAC procurement cards
-Assist with purchase requisitions and ordering supplies and equipment for schools and ISSAC
-Handles lost and found for Griffin Hall along with support from student workers
-Assist with copying, printing and organizing course materials for all faculty and ISSAC staff
-Distribute mail, along with support from student workers, to faculty and staff mailboxes in ISSAC and school suite
-Responsible for posting notifications for class cancellations
Periodic duties recurring at fixed intervals:
-Joint responsibility with Academic Budget Officer for recording school suite and ISSAC inventory
-Responsible for processing textbook orders and ordering desk copies for faculty in both schools
-Responsible for uploading faculty syllabi
-Reviewing requests for entering permits for course registrations in both schools
-Available to assist with reserving rooms for faculty, ISSAC, and student organization requests
-With assistance of student workers, forward forms to dean’s office for approval
-Work with school and ISSAC directors on coordination and hosting of special events sponsored by the schools, ISSAC, student organizations or professional organizations as assigned by directors.
-Coordinate academic year recruiting events for the college in conjunction with Admissions and the ISSAC
-Works with Assistant Dean of Undergraduate Students and ISSAC coordinating summer orientation and other recruitment events for the college in conjunction with New Student Orientation, advising, and Parent Programs
-Generate student evaluations and other materials for school directors to prepare for annual performance review -meetings with faculty and staff
-Recording and preparation of minutes from school/program meetings as necessary
-Cross-training with other COI academic staff positions to act as a back-up when necessary.
Qualifications
Associate’s degree plus two years of related experience required. Must have excellent oral and written communication skills, problem-solving skills, trustworthiness, self-starter, and be able to multi-task. Must be able to work with a diverse population. Knowledge of SAP a plus.
