Job Description Summary
Penn Medicine's Abramson Cancer Center (ACC) and Cancer Service Line (CSL) seek a full-time Administrative Coordinator to jointly support (1) the Associate Director of Clinical Research and (2) the Associate Director for Diversity and Outreach. In brief, the Associate Director of Clinical Research (ADCR) oversees and directs the cancer clinical research enterprise at Penn Medicine and is tasked with building the Cancer Clinical Trials Network across cancer programs in the University of Pennsylvania Health System (UPHS) and the Penn Cancer Network; the Associate Director for Diversity and Outreach (ADDO) investigates, identifies, and develops solutions to address disparities in access to cancer prevention, screening, and treatment for underserved and vulnerable populations, paying particular and specific attention to the Philadelphia community.
Job Description
The Administrative Coordinator is charged with providing professional administrative coordination and support to the ADCR and ADDO, which requires tact, diplomacy, and discretion on a wide variety of complex and sensitive issues. This position will serve as the primary point of administrative contact, coordination, and liaison with other offices, individuals, and external institutions and agencies. Other responsibilities include, but are not limited to, supporting regular office operations, creating and executing complex schedules, screening phone calls, greeting and directing visitors, scheduling internal and external meetings, keeping organized records, and planning special functions. The successful candidate will demonstrate professionalism while performing all duties, which is especially important in time-pressured and rapidly changing environments. This position requires a high level of internal contact with faculty and departmental leaders, in addition to contact with executive and medical leaders of other Penn Medicine hospitals. This position also requires strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community. Work will be performed independently with minimal supervision or direction; some work-related responsibilities may occur outside of regular business hours.
QUALIFICATIONS:
The Administrative Coordinator must possess a high school diploma or equivalent (such as a G.E.D.) and 5 years, or an associate degree and 3 years, or a bachelor's degree and 1 year of experience, or equivalent combination of education and experience. The candidate must exercise judgment and creativity in prioritizing daily work functions, maintaining compliance with regulations and patient confidentiality. Must be proficient in MS Office Suite (particularly MS Word and MS Excel) and familiar with office equipment, like printers and fax machines. Excellent verbal and written communication skills. Must be courteous, proactive, and well-organized professional who brings creative solutions to administrative problems.
Position is contingent upon continued funding.
