Position Purpose

Reporting to the Operations and Finance Center Director, in the Faculty for Arts & Sciences division ( FAS ), supervises the day-to-day activity related to financial services to ensure outstanding customer service to internal and external customers with emphasis on timeliness and accuracy. Responsible for training, managing workflow, priority setting and representing the team in inter-departmental meetings.

Education
  • Bachelor’s degree in Business Management, Human Resources or Finance
Experience
  • Five years experience supervising center processing and/or other directly related experience.
Skills & Knowledge
  • Effective supervisory skills to lead a multi-disciplined work team.
  • Advanced problem solving, resolution and analytical skills, and the ability to prioritize and manage time.
  • Knowledge of financial systems.
  • Attention to detail.
  • Able to work under pressure of time constraints, work independently, and ability to multi-task.
  • Ability to organize, plan and execute projects using demonstrated project management skills.
  • Projects a professional image and models proper telephone and e-mail etiquette.
  • Demonstrated proficiency in the Microsoft Suite, and the Internet within a Windows environment.

Preferred Qualifications

Education
  • Master’s degree in Business or Finance
Experience
  • Financial management experience within a higher education environment preferred or an equivalent combination of experience and education.
  • Knowledge in enterprise wide Oracle systems and call center operations experience preferred.

Key Accountabilities

Description

Leadership
  • Hire, train, supervise, develop, and evaluate staff members primarily on expense reporting, procurement, and accounts payable (5 finance specialists and collaborating with 3 analysts).
  • Oversee processes to ensure accuracy, timeliness and perform analysis.
  • Develop, implement, document, and maintain systems, procedures, and policies, including accounts payable functions, to ensure adherence to Dartmouth/federal/state guidelines.
  • Train and orient department and program administrators and faculty on finance systems and workflows.
  • FAS representative at A/P and procurement related campus-wide meetings.
  • Communicate policies to administrators and faculty within FAS .
  • Inquiries and new system issues are escalated to Manager to resolves and analyze customer issues.
  • Provide Director with weekly updates on issues and recommended process changes to effectively meet customer needs.

Systems
  • Serve as FAS representative on working group, system upgrades, testing, committee, and center/host meetings for campus-wide technology initiatives and system/procedures/workflow updates.
  • In collaboration with managers/directors in host departments such as Procurement, Controller’s Office, Computing, etc., and uses established procedures, manage testing for scheduled upgrades or changes to reports, screens, etc.
  • Ensure that the Financial Center team follows proper procedures for identifying requirements, completing design and testing, maintenance and enhancements prior to implementation.
  • Provide base level system support to specialists to assist with mapping drives, and acting as first responder to troubleshooting issues before escalating to IT.

Data Analytics and Planning
  • Compile, analyze, and report financial information to Director quarterly and year end reporting.
  • Establish goals and monitors key metrics, analysis and reporting.
  • Develop, maintains and reports using viable audit procedures to ensure accurate and timely information.
  • Provide ad hoc reporting needs analysis to internal/external customers
  • Identify and communicates transactional inconsistencies/lack of compliance by customer.
  • Manage the accurate review/interpretation, data entry and auditing of requests into Oracle and other financial management systems.
  • Lead the annual benchmarking/best practice processes including recommendations to the Director for the annual benchmarks. Provides on-going analysis of reasonability of benchmarks.

  • Utilize established performance management tools to effectively supervise staff.
  • Prepare and implements training plans for the team to develop, maximize and enhance the technical, team building and behavioral competencies of each individual on the team.
  • Provide cross training to team members to ensure adequate coverage, accurate and consistent information and timeliness.
  • Ensure development of ongoing individual and team open communication processes.
  • Collaborate with Director to standardize current processes and seek process improvements to ensure consistency and accuracy.
