Position Purpose
The Administrative Assistant III will provide administrative support for the Office of Pluralism and Leadership ( OPAL ), including coordinating and performing a wide variety of office activities that will increase office efficiency, expedite and support the work of others, and ensure the smooth operation of the office. The Administrative Assistant is responsible for timely, effective communication with departmental staff and constituents, and effectively communicating and supporting the departments’ values to foster inclusivity and diversity. Works as an integral member of the staff in the accomplishment of the office workload.
This is a full-time position.

Associates plus 2-3 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
- Associate’s Degree and two years relevant work experience or the equivalent combination of education and experience.
- Two years of office experience/management in a related field, with some autonomy.
- Strong organizational skills and ability to respond appropriately to pressures, deadlines and changes in priorities and schedules, with attention to detail.
- Excellent communication and interpersonal skills (with a student/staff centered focus) as well as an attention to detail and accuracy.
- Demonstrated flexibility and the ability to take initiative, work independently, and handle multiple issues and competing priorities in a dynamic work environment.
- Experience working in Student Services, including experience working with people of diverse backgrounds. Demonstrated cultural competence; commitment to diversity and proven effectiveness in serving the needs of a diverse undergraduate student population.
- Experience with social media and website development,
- Proficient in bookkeeping, account reconciliation, data entry, data organization, file organization and maintenance.
- Experience with Banner and IRA financial system, preferred.

Key Accountabilities
Description
General Office Support (50%)
- Serves as primary receptionist and support to departmental staff. This includes serving as the initial contact to and liaison with all visitors to the Office of Pluralism and Leadership (via in-person, phone, email interaction). Screens and reviews incoming correspondence and e-mail for prioritization and forwards to appropriate individuals for action.
- Collaborates with Office Manager and other administrative staff to perform a wide variety of functions; shares information and knowledge of procedures with other members of the team so that all can perform similar tasks successfully.
- Orders necessary supplies for office and manages inventory of supplies and equipment.
- Trains OPAL staff and student coordinators in systems, policies, or procedures where needed.
- Supervises student office intern/coordinator.
- Maintains a high degree of sensitivity and confidentiality at all times.

Fiscal Management (20%)
- Ensures that resources are used effectively and responsibly, in collaboration with the Office Manager.
- Supports submission of general office and advising area related expenses, reimbursements, and payments.
- Facilitates office adherence to Dartmouth business and financial policies and procedures. Coordinates and communicates regularly with the Dartmouth finance center.

- Records and distributes minutes for staff meetings and retreats.
- Helps maintain office email account, calendar, print, electronic, and web communication for the office, including website management.
- Maintains cognizance of working within a diverse community and acts appropriately regarding diversity in dealing with others.

Project/Event Support (10%)
- Supports event programming for department staff as needed, which may include: facilitating financial processes, managing vendors, travel/lodging arrangements, and advertising.
- Schedules and assists with coordination of department programs, meetings, and events.
- Provides logistical support for staff recruitment, including scheduling interviews, communicating with campus partners, and collecting candidate materials.

- Develops and communicates office policies and procedures, in collaboration with the Office Manager.
- Works with OPAL staff to ensure that relevant information is easily accessible to students and other key stakeholders.
