Position Purpose

To administratively support the Geisel School of Medicine’s student affairs office by coordinating activities that will increase office efficacy and ensure the smooth daily operation of the office.

Required Qualifications - Education and Yrs Exp

Associates or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities
  • Three years of office experience in a related field, with a high degree of autonomy.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to manage logistical and administrative details of multiple tasks or projects.
  • Ability to work effectively, independently, and as a member of a team.
  • Proficiency in database management, spreadsheets, and other computer software.
  • Ability to maintain and foster confidentiality.
  • Demonstrated ability to effectively collaborate and interact with all levels of employees, management, and leadership.
  • Attention to detail and accuracy.
  • Commitment to diversity and to serving the needs of a diverse community.
Preferred Qualifications
  • Familiarity with Dartmouth accounting systems and procedures.
  • In-depth knowledge of office procedures, including financial transactions.
  • Proficient with computer applications, including website updates and database entry and management.

Description

Administrative Support:
  • Serves as initial point of contact for student visitors and community at large
  • Represents the office to the institution and external constituencies as necessary
  • Manages office email account and responses
  • Manages a variety of persons wishing to make appointments and effectively redirects caller/visitor to the appropriate individual/office
  • Maintains and updates the Student Affairs SharePoint site
  • Manages building access, facility issues initiating maintenance reports as needed, manages signage and information boards
  • Supports execution of student affairs programming and events
  • Reserves rooms for programming and/or meetings
  • Orders food as needed for programs and/or meetings
  • Monitors and orders office supplies
  • Sorts and delivers office mail
  • Maintains and updates office directories and website

Calendar Management:
  • Manages, plans, and coordinates the details of one or more complex daily appointment calendars to ensure the most efficient use of the supervisor’s or manager’s time
  • Coordinates and schedules a variety of activities to support office functions and meetings
  • Briefs the supervisor on changes in schedules and priorities or on matters needing the supervisor’s personal or immediate attention
  • Frequently updates schedules and plans on upcoming meetings
  • Coordinates with other offices to arrange co-sponsorship of events
