Summary/Objective

Under the supervision of the Director, Pre-Award Grants and Contracts Administration, the Pre-Award Coordinator supports CAS faculty and staff seeking funding for research, education, service, training, and other programs from government agencies, corporations, private foundations, and other potential. This includes development of budgets to ensure compliance with CAS, University, and Sponsor practices, policies, and requirements; preparation of internal and sponsor forms; and coordinating the internal CAS approval process. This position requires substantial cooperation with research faculty within CAS, and the research support infrastructure both within CAS and the university more broadly.

Essential Functions
  1. Pre-award Budget Development- Support faculty and staff in developing proposal budgets in internal AU template, as well as preparing budgets in the sponsors’ templates for submission to funders.
  2. Pre-award Administration- Support faculty and staff in preparing proposal materials for submission, including but not limited to: creating submission workplans and timelines, completing AU and sponsor application forms, and building proposals in sponsors’ online portal.
  3. Policy and Compliance– Under the supervision of the Director, review proposals for responsiveness to RFP and technical specifications. Ensure compliance with applicable federal, state, local, and university policies and regulations.
  4. Pre-Award Routing– In coordination with the Director, initiate CAS review and approval process; manage CAS Proposal in Progress Schedule and interact with OSP to ensure timely submissions.
  5. PI Outreach and Training– Under the supervision of the Director, assist in creating templates and educational materials to disseminate to CAS faculty and staff.
  6. Other duties as assignedby the CAS Dean or Associate Deans, or supervisor. This may include assistance with compliance tasks and assistance with post-awards grant administration activities when necessary.

Required Education and Experience
  • Bachelor's Degree in Business; or equivalent education, training and experience
  • 3-5 Years relevant experience in initiating, developing, and bringing grant and contract proposals to completion/submission.
Preferred Education and Experience
  • Experience working with grant and contract proposals in higher education
  • 4-6 Years' of relevant experience.
Additional Eligibility Qualifications
  • Knowledge of appropriate federal rules pertaining to the administration and management of sponsored grants and contracts (OMB Uniform Guidance, Federal Acquisition Regulations) and strong knowledge of funding sources (federal, non-federal, especially NIH, NSF, DOE, DOD) required
  • Demonstrated ability to develop and maintain collaborative working relationships with faculty and staff and demonstrated ability to work in a team environment required
  • Excellent writing and editing skills required
  • Excellent analytical, computer literacy skills, and high attention to detail required.
  • Experience with Cayuse and business intelligence tools preferred
  • Microsoft Excel Advanced skills: the user has mastered advanced functionality including Data Validation, Pivot Tables and Charts; use formulas such as INDEX and VLOOKUP, and can create logic statements such as IF, AND, OR.
