Job Description:

DIVISION: Academic

DEPARTMENT: Dolan School of Business

BASIC FUNCTION: Under the direction of the Dean, the Assistant Dean and Director of Undergraduate Programs assists the Dean with the day-to-day operations of the Dolan School of Business (DSB) undergraduate program, including administrative and student-centered work. Working within the parameters of a faculty advising model, the Assistant Dean is responsible for providing support to faculty advisors and undergraduate students throughout all aspects of the academic planning process, including curricular and co-curricular opportunities. Is responsible for retention efforts including the monitoring, counseling, and academic coaching of Dolan School of Business students identified as academically “at risk” and works collaboratively with faculty and university personnel to provide comprehensive support services. Represents the Dolan School of Business at university functions, on university committees and relevant external capacities; supports the promotion of various Dolan School of Business recruitment, communication, and marketing initiatives.

UNUSUAL WORK CONDITIONS: Some evenings and weekend hours required; vacation time limited during peak times including the first month of each semester and during summer orientation.

KNOWLEDGE AND SKILL NEEDED: Strong verbal and written communication skills are required.

EDUCATION: Bachelor’s Degree, Master’s Degree in related field required.

EXPERIENCE: 5-7 years of experience in higher education required, preferably in academic advising, career counseling, or closely related field. Demonstrated effective interpersonal, organizational, and presentation skills. Proficiency in various computer software programs; knowledge of Banner preferred.

SUPERVISION OF PERSONNEL:

Direct: Assistant Director, Program Coordinator, Student Experience Counselor

Indirect: Student workers

REPORTS TO: Dean, Dolan School of Business

ESSENTIAL FUNCTIONS:

1. Responsible for the day-to-day operations of undergraduate Dolan School of

Business programs with assignments specifically given by the Dean and reports

directly to the Dean.

2. Responsible for significant student-centered academic advising to Dolan School of Business undergraduate students throughout all aspects of the academic planning process, in collaboration with the Assistant Director.
  • Guide students in developing and implementing their individualized plan of study and co-curricular learning opportunities

  • Advise students regarding university policies and procedures, academic programs, and graduation requirements

  • Advise students during peak times including course registration, add/drop period, and prior to the course withdrawal deadline

  • Advise students on selection of a major, complementary programs, and career opportunities

  • Advise students on international education opportunities

  • Support recruitment efforts and provide informational meetings for prospective students and transfer students

Responsible for quality retention efforts including outreach and counseling to students in academic jeopardy, students in transition, and undecided students. Work collaboratively with campus partners to provide comprehensive support services. Working with “at risk” students includes, but is not limited to:
  • Students formally placed on Academic Probation or identified as at risk of probation/dismissal

  • Students referred by the Case Management Committee and/or faculty inquiries identifying students of concern

  • First-year students and NCAA Division I athletes identified through the University Alert System: Early Alerts, Midterm Estimates, and Final Alert

4. Responsible for upholding and enforcing University policies and practices, including managing student concerns, academic grievances, cases of academic dishonesty, academic probation placement, and academic dismissals.

5. Responsible for the review and approval of all undergraduate degrees awarded by the Dolan School of Business.

6. Assists the Dean, Associate Dean, and Department Chairs with enrollment management and course scheduling. Coordinates with the Registrar on semester course schedules and classroom assignments.

7. Responsible for coordinating with the Assistant Director to develop and facilitate academic advising training workshops designed for faculty advisors and peer advisors.

8. Collaborate with the Dean, Associate Dean, and Dolan School’s Director of Career Development Center to enhance students’ academic planning experience through co-curricular opportunities, including: Dolan School of Business Professional Development Series, internships, Dean’s Student Advisory Roundtable, etc.

9. Initiates activities and events to enrich the experiences of Dolan Schools to build and strengthen the community.

10. Represents the Dolan School of Business at university functions and Dolan School of Business sponsored programs/events, including new and prospective student Open Houses and Orientation for First Year Students, represents the Dolan School of Business in community activities and organizations as part of the School’s community outreach.

11. Serves on Dolan School of Business and university committees when appropriate. These include, but are not limited to:
  • DSB Chairs Council

  • DSB Undergraduate Curriculum Committee

  • University Judicial Board

  • Academic Planning Committee

  • Case Management Committee

  • International Programs Committee

  • Administrative Technologies Committee

  • Dolan advisory board and councils

12. Monitors and updates Dolan School of Business print and web-based materials including undergraduate catalog, internal and external website content, social media, and other promotional materials as assigned.

13. Working with University Institutional Research, compiles undergraduate profile information for accrediting agencies (e.g., AACSB) and external ranking entities (e.g., Bloomberg Businessweek).

14.Assists in the development, implementation, and promotion of special projects within the Dolan School of Business as deemed necessary.

15. Promotes safe and secure working conditions. This involves:
  • promoting the proper utilization of equipment and materials,

  • notifying Dean immediately regarding any unsafe working conditions.

16. Performs other duties as directed by responsibilities.
