Overview of Administrative Assistant

Purdue University Northwest is seeking an Administrative Assistant for the School of Engineering. The Administrative Assistant is the primary support function for all administrative tasks in the School of Engineering. This position is responsible for translating directives and initiatives developed by School leadership into actions, interfacing as needed with all levels of stakeholders at the School (faculty, staff and students) as well as externally (External Advisory Board, community and industry leaders, PNW administration outside of SoE). The position also provides logistical support for the Director (travel arrangements, meeting and calendar planning, etc.) The person in this position supervises, mentors, and trains departmental administrative assistants in SoE as needed.

Pay:

$19.50 - $22.00 will be commensurate with experience

Duties and Responsibilities of Administrative Assistant
  • Facilitate School of Engineering communications internally and externally; cultivate such communication through professionalism, tact, and confidentiality
  • Act as a liaison between external stakeholders and Director’s office as well as with our Accounting Department
  • Greet and assist visitors, including students, parents, educational institutions, and the business representatives
  • Purchase equipment, supplies and coordinate key requests for the Design Studio
  • Perform data analysis for financial reports, faculty loads and student success tracking
  • Manage budget records, transfers and tracking of expenses for the School
  • Provide guidance to Electrical and Computer Engineering and Mechanical and Civil Engineering department Administrative Assistants
  • Audit semester workload reports and Limited Term Lecturer stipends
  • Review and approve summer assignments to ensure workloads stay within summer guidelines
  • Provide support for accreditation-related activities at the School level for accreditation of degree programs
  • Work closely with Department Chairs, Director and Dean to support development of Self-Study Reports and support materials, and coordinate visit details
  • Coordinate and assist Director, Department Chairs and Dean in the hiring process of faculty and staff as appropriate to the School
  • Assist with advertising of faculty positions and the search and screen process
  • Provide indirect functional supervision of engineering department Administrative Assistants within the School to ensure that deadlines are met, provide guidance in areas such as faculty searches, hiring process and contracts, workloads and stipends
  • Coordinate seminars, meetings and group visits as requested by Director
  • Coordinate External Advisory Board and Senior Design events
