We are seeking an Sr. Administrative Coordinator
who will provide complex project and administrative support to the
Division Director of Gastroenterology and Hepatology, Department of
Medicine, for the Johns Hopkins University and the Johns Hopkins
Hospital. This position will also provide administrative support to
the Clinical Directors and Administrative Leadership team. They
represent the Division Director and Division Administrator as
appropriate in communicating professionally with faculty,
executives, administrators, staff, and external contacts, including
government representatives (NIH, NHLBI, AMA, local political
representatives, etc.) This position will provide high-level
administrative expertise. The Sr. Administrative Coordinator
interprets operating policies of the University and the Hospital
while exercising independent judgment in the resolution of
administrative problems. This position reports directly to the
Division Administrator, Gastroenterology and Hepatology, to ensure
smooth and efficient functioning for the department as a unit. This
is a highly visible position in the Gastroenterology and Hepatology
division. We desire a professional individual with good judgment
and the ability to remain calm in stressful situations.
Specific Duties & Responsibilities
- Exercises independent judgment to rank and prioritize meeting requests and timelines.
- Coordinates calendar with clinic and other schedulers.
- Maintains and updates CV, biosketches and other documents required for academic/research purposes.
- Manages complex administrative projects
- Manages mail for Vice Chair on an as needed basis and resolve matters as appropriate on their behalf.
- Makes travel arrangements and oversees reimbursements for lab personnel and travel.
- Assists with coordinating special events and meetings as required.
- Transcribes and/or types manuscripts, technical documents, tables, and correspondence; create spreadsheets; prepare graphs, charts, and other documentation needed.
- Assists with submissions to academic journals.
- Answers phone calls for Vice Dean and Director in his various roles as well as for the Amos Food, Body and Mind Center.
- Interacts with patients, referring doctors and others with respect to the Amos center.
- Orders supplies and tracks expenses for laboratory and communicates effectively with divisional financial personnel.
- Maintains strict confidentiality of all documents, files, and human resources information.
- Other duties as assigned.
Minimum Qualifications
- High School Diploma or graduation equivalent.
- Five years progressively responsible administrative experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: $20.40 - $28.00/hr (Commensurate with
experience)

JHU Equivalency Formula: 30 undergraduate degree credits (semester
hours) or 18 graduate degree credits may substitute for one year of

be applied towards the total minimum education/experience required
for the respective job.
