Job Summary

Reporting to the Executive Director of the Office of Alumni Relations and Engagement, the Assistant Director develops and implements strategic engagement opportunities to meet the needs of all college constituents, particularly alumni, to increase their sense of affiliation to Drexel University's LeBow College of Business. Responsibilities include successful overall management of the college's special events and overseeing the full spectrum of event production, as well as acting as a reliable touch point for alumni to engage with the College.

This role works collaboratively with mainly alumni, but also with faculty, staff, administration, and sometimes students to inspire alumni-student engagement and implement strategies as they relate to assigned groups. The Assistant Director will consult with internal constituents to help define and manage expectations when planning programs for alumni, College constituents, and the regional business community. This role supports the Office’s programming and executes the comprehensive alumni engagement plan and strategies designed to provide meaningful opportunities for engagement, volunteerism, service, personal and professional development, which enhance alumni loyalty. As a member of the Alumni Relations and Engagement team, the Assistant Director will be aware of new and ongoing university programming and seek additional alumni opportunities and appropriate partnerships when applicable.

Essential Functions
  • Event Management
    • Manage events designed to support the strategic initiatives of LeBow.
    • Vendor management, timelines, agendas, logistics, parking, food service, collateral materials, technology needs, briefs, event communications including speeches, talking points, remarks, etc.
    • Participation in speaker recruitment and confirmation.
    • Provides support for the Office of Engagement and the Dean’s Office to implement constituent cultivation events, receptions, conferences, alumni events, etc.
    • Develop strategies and programming to meet the needs of all college constituents, including alumni, to increase their sense of affiliation to LeBow.
    • Support event-related logistics such as room reservations, event registration, catering orders, name tags, event services support, and audio-visual requests.
    • Attend and works all events.
    • Consult with LeBow faculty and staff to help them as they plan events, recruit speakers, and purchase giveaway items.
    • Help define and manage expectations when planning programs for alumni and the regional business community.
    • Coordinate requests from faculty and other constituencies for speakers and other special needs.
  • Alumni/Student Engagement and Relationship Management
    • Develop strategic relationships with alumni, students, and student-facing staff to encourage participation and ongoing engagement with the college.
    • Manage the Drexel LeBow Alumni Association.
    • Develop and implement strategies to productively engage alumni board members in the life of LeBow as active and contributing alumni volunteers.
    • Enhance participation, plan new alumni events, and develop outreach programs.
    • Develop an annual calendar of events for the board, including board meetings/calls, committee activities, and communication opportunities.
    • Membership identification and selection and leadership team recruitment.
    • Identify opportunities to strengthen the LeBow presence through partnerships, engagement opportunities, targeted communications, events, networks and community/civic relationships with alumni
  • Planning
    • Work with the Associate Director and Executive Director of Alumni Relations and Engagement to create and implement new projects designed to support strategic initiatives.
    • Recommend program enhancements, both administrative and substantive, on an on-going basis, including new partnerships and innovative opportunities to engage LeBow alumni.
    • Conduct research on alumni interests/needs and launch programs and services that address those identified interests/needs.
    • Assist Associate Director and Executive Director with post-event debriefing to establish best practices.
  • Communications
    • Write and edit event communications including speeches, talking points, and remarks for the dean and other senior-level management for programming.
    • Manage communications for alumni and student events.
    • Collaborate with LeBow Communications and Tech to manage alumni webpages and to identify needed updates.
    • Work with Communications team to create printed materials such as invitations, brochures, signs, etc.
    • Assist in creating marketing plans for events and producing event related materials.
  • Operations Management
    • Supervise work-study or co-op student (when applicable).
    • Oversee the interview process, the hiring, and management of work-study or co-op students.
    • Maintain an inventory of promotional materials and resources for College-wide events. Coordinate requests from faculty and other constituencies for speakers and other special needs.
    • Maintain the schedule for the College’s 2nd floor event space and ensure that the space is kept neat and clean (overseeing the catering and facilities’ activities in that space).
Required Qualifications
  • Bachelor’s degree or Equivalent
  • 3+ years of professional experience
  • Ability and willingness to work early mornings, evenings, and weekends
  • Relationship-building skills and ability to interact with all constituents – business community, alumni, students, staff, and faculty – with the ability to actively listen and follow up on specific ideas and initiatives.
  • Excellent communication skills – written, verbal and interpersonal
  • Excellent administrative and software skills (including Microsoft Outlook, Word & Excel)
  • Creativity and ability to work on own initiatives and meet deadlines independently
  • Impeccable attention to detail
  • Excellent project management skills
  • Excellent team player
  • Experience in higher education or in a large non-profit a plus
