The Budget Associate is responsible for performing a variety of professional and administrative tasks that facilitates the day-to-day and long-term fiscal operations of Falk College. The budget office handles all financial transactions for the College related to Human Resources, Payroll, Purchasing, and Disbursements activities.This position assists in processing and monitoring expenditures and related financial activities ensuring that expenses are within established budgets and fiscal policies and procedures are followed.This position requires frequent collaboration with other campus departments and may be asked to take on tasks in support of various Budget Office or Dean’s Office projects or initiatives. Qualifications
  • Bachelor’s degree or equivalent combination of education and relevant work experience in a professional setting.
  • Experience in higher education, budget management, and grant administration preferred.

Job Specific Qualifications
  • An understanding of financial management and grants administration.
  • Ability to work independently, multi-task, and maintain mature judgment, professionalism, and confidentiality.
  • Strong computer skills and proficiency in Microsoft office suite and ability to train quickly on other systems; knowledge of PeopleSoft and Hyperion favorable.
  • Strong organizational skills and attention to detail.
  • Excellent oral and written communications skills to collaborate with College and University administration.
Responsibilities
Budget and Finance
  • Preaudit all expense transactions (travel vouchers, employee expense reimbursement requests, credit card reconciliations, purchase requisitions, invoices, etc.) ensuring proper approvals and supporting documentation, according to College and University policies.
  • Prepare and/or approve journal and My Code entries.
  • Reconcile posted expenses to the general ledger and follow up on any discrepancies.
  • Assist as needed with onboarding new administrative hires including assistance with T&E, ePRO, and Falk Policies.
  • Create forms/letters for fellowships, scholarships and prizes for students.
  • Provide administrative support for special projects and reporting requirements.

Administration:
  • Work with College departments and Human Resources to assist with the hiring of PTIs, graduate assistants, temporary employees and students, including PIN creation through PER process, contract generation and system input for hires, leaves and terminations.
  • Monitor non-exempt time entry for proper approval and staff time off requests.
  • Assist with processing extra service/overload payments and payroll reallocations requests (PARs) as requested.

Grant Management:
  • Verify budget availability prior to approving T&E, JPMC, invoices, and reimbursements.
  • Assist with monitoring grant activity by working with principal investigators and other University offices.
