The Payroll Administrative Assistant supports the Payroll Department and the manager in terms of a broad range of administrative and clerical functions, large scale and complex projects, and assignments that require interaction with those across the university.

Responsibilities include, but are not limited to:
  • Provide excellent customer service and general office and administrative support to Payroll Services as directed by the Payroll Manager. As the primary office coordinator, the incumbent will:
  • Process and maintain verifications of employment and EDD verification.
  • Serve as content editor and maintenance for Payroll website.
  • Perform data entry for student hires into PIMS.
  • Prepare documents requested for audits (KPMG, SCO, etc).
  • Serve as the unit Timekeeper. Update/maintain unit Absence Calendar in Microsoft Outlook once time is approved by manager to be used to verify time off in Absence Management.
  • Maintain unit supplies/orders.
  • Create drafts for monthly Payroll Bulletin to manager.
  • Drop off/pick up state checks and documents from Student Financial Services.
  • Incoming/outgoing mail.
  • Include filing, answering phones, email communication, and other inquiries.
  • Oversee student workers by assigning daily projects and tasks as directed by manager. Responsible for processing student hires (SPARS) into PIMS, verifying monthly student hours worked by assisting in the completion of time sheets, simple student hours data entry and investigating student pay concerns before forwarding to appropriate Payroll Technician by posted deadlines.
  • Perform other duties and responsibilities as assigned by the manager.



Minimum Qualifications: Required Education and Experience
  • High School diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Qualifications
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Thorough mastery of English grammar, punctuation, and spelling.
  • Expertise in using office software packages, technology, and systems.
  • Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  • Ability to effectively write and present own reports.
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  • Ability to use negotiation and persuasion skills to achieve results and expedite projects.

Preferred Qualifications
  • Bachelor's degree preferred.
  • A working knowledge of payroll.
  • A thorough knowledge of office systems, and ability to use a broader range of technology, systems, and software packages.

Compensation and Benefits:

Anticipated Hiring Range: $3,505 per month

Classification Salary Range: $3,505 - $5,508 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year. Position Information:

Work status: Full-time/Non-Exempt/Probationary

Schedule: Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.
