The King’s College is a Christian liberal arts college set in the heart of the financial district of New York City. Reporting to the Chief Development Officer, the Director of Development Administrative Operations supports the efficient functioning of the Development Office through efforts in office management, administrative support, database management, annual fund management, and event planning. This position also supports the financial aspects of the department including processing donations, working with accounts payable, financial reporting, and other budgetary responsibilities related to DEV operations.

Responsibilities:
 Office Management 

•    Advise, manage, and track the Development budget
•    Process all Development pre-approval requests (PARs), invoices, check requests, expense reports, etc.
•    Manage all mail flow to and from Development including daily mail, donations, and email inquiries 
•    Work closely with TKC Business Office to check donation and account reconciliation as well as to ensure Development procedures are in compliance with state and federal laws 
•    Provide day-to-day oversight of Development Student Workers
•    Oversee and implement all departmental contracts (e.g. Raiser’s Edge, Windfall, iWave, etc.)
•    Responsible for State Charitable Solicitation Registration renewals
•     Review donation and alumni related webpages for updates and corrections as needed

Administrative Support
•    Provide special data reports for statistical functions and internal analysis.
•    Initiate strategic meetings discussing such items as the annual campaign, donor reports, giving strategies, etc.
•    Design and maintain strategic dashboards needed for data reporting or for tracking moves management, projects, events, and dollar goals.
•    Assist the CDO in the purchase and distribution of annual gifts, Christmas cards, and donor giveaways
•    Prepare the annual board report in concert with the CDO

Database Management
•    Maintain all data in the alumni and donor database, including new donor or alumni entries, data clean up, general updates, donor event records, and quality control for data entry work by student workers
•    Provide all needed reports both within the college and to outside foundations and organizations
•    Manage database updates by learning any newly implemented features and functions and training the Development team as needed
•    Spend a minimum of 1 hour per month reading articles or attending webinars to improve fundraising or database efficiency
Annual Fund Management (Donor Facing)
•    Serve as the point person for all telephone donation inquiries and remain fluent in all College policies regarding scholarship designations, endowments, fundraising, stock transfers, estate planning, etc.
•    Responsible for scheduling and executing annual fund appeal letters, updates, year-end tax receipts, and donor campaigns such as year-end, Giving Tuesday, and matching gift opportunities.
•    Work closely with the Director of Marketing & Communications to strategize and review Development related communications such as newsletters, appeal letters, thank you notes, video scripts, etc
•    Manage donor pledges by booking pledges in RE, scheduling payments, and sending reminder letters
•    Process all donations and administer acknowledgement letters and tax receipts
•    Oversee Student Workers who make thank you calls for all gifts under $1,000

Event Planning
•    Help coordinate on-campus donor events
•    Assist the CDO in planning and implementing foundation or individual donor visits
•    Support the Office of the President with hospitality for VIP guests and speakers
•    Work closely with Marketing & Communications department to design Save the Date cards, invitations, email templates, etc.
•    Assist with off-campus King’s Forums and donor receptions as needed
OTHER DUTIES
•    Additional responsibilities as assigned by the Chief Development Officer

REQUIREMENTS
•    Bachelor’s Degree
•    Excellent written and oral skills
•    Strong attention to detail
•    Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
•    Familiar with database programs such as Raiser’s Edge NXT
•    Strong planning, organizational and quantitative skills
•    The ability to work cooperatively with colleagues and staff at all levels
