Job Description:

Basic Functions and Responsibilities:

This is a full-time, grant funded position. The Grant Coordinator - PATH will support the efforts of the Pipeline for the Advancement of the Healthcare Workforce Program (PATH) grant in accordance with the Health Careers Division at Oakton Community College. The PATH Grant Coordinator will implement a multi-layered approach to support new and continuing students. Data collection and reporting, programmatic and budgetary oversight of the PATH grant and post-award compliance are major functions of this position. This position interacts with students, faculty, internal departments, administration, staff, as well others in the health careers and health care industry and as such, requires a prominent level of professionalism and confidentiality.

Characteristic Duties and Responsibilities:
  • Develops and implements strategies to meet the intended goals established by the State for increased student enrollment, persistence, and completion.
  • Oversees the daily functions of the PATH Grant including but not limited to executing tactics related to the established goals of the grant, monitor and evaluate effectiveness of grant activities.
  • Coordinates data collection, monitoring and evaluation of programs and projects that are funded by grants. Design, monitor, and maintain a database with spreadsheets to track and report student outreach, admission, retention, persistence and completion of PATH certificates, credentials, and degrees. Use internal data spreadsheets to determine accurate student count and notes regarding students listed as PATH. Perform additional data collection as needed. May also prepare and/or present data by administration, or ICCB/IBHE for regular reporting.
  • Completes all documents, forms, or reports required by the grant. Develops and maintains master files on grants and paperwork connected to programs funded by grants.
  • Coordinates the activities of and schedules meetings with internal departments, institutional team, and external partners as needed to plan, implement, and accomplish PATH objectives and Legislative requirements.
  • Monitors and coordinates the administration of the post-award grant to ensure that budgeting and administrative policies, procedures, and agency requirements are being followed. Manages administrative problems and/or budget changes occurring during the awarded granting period.
  • Maintain budget records, support the application of the PATH grant funds by collecting information needed for budgeting, including faculty load sheets and time and effort reports.
  • Work directly with the Grants Office to develop a yearly budget.
  • Other duties as assigned.

Requirements:

Qualifications and Working Conditions:
  • Bachelor's degree in science or related field, Business, Education or a related field; or an equivalent combination of training and experience from which comparable knowledge and abilities is required.
  • Two years' experience managing a budget.
  • Previous experience in a higher education setting is preferred.
  • Interpersonal verbal and writing communication skills requiring the ability to persuade and/or negotiate agreements is required. Experience giving presentations is a plus.
  • Ability to interact and work in a highly collaborative environment with colleagues, students and the public is required.
  • Ability to communicate/interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit an adequate level of respect to fellow employees, the College community at large, and state regulators.
  • Ability to use a computer to enter, retrieve, and manipulate data in Microsoft or Google spreadsheets is required. Experience with data analysis is preferred. Experience with Zogotech is a plus.
Physical Demands:

Light lifting up to 10 lbs. and light carrying up to 10 lbs. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending and stooping. Mobility to move from building to building on-Campus and to visit off-Campus entities. Work is performed in a general office environment and sedentary in nature. Little or no exposure to adverse working conditions.

Supervision Received:

Administrative supervision is received from the Dean of Health Careers Division. Functional supervision is received from the Grant Manager of STEAM-H.

HOURS: Will Vary

SALARY: $54,712

This is a temporary grant position and continued employment, is based on the successful renewal of the grant.

Based on the needs of the college and with Administrator approval, some positions at the college may have hybrid schedule options available after 30 working days.
