Job Description

As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University’s Ancilla College is seeking an Administrative Assistant position. Administrative Assistant Working closely with the Director of Athletics, the Administrative Assistant promotes Marian University’s Catholic Franciscan mission and identity by managing many of the daily operations of the Athletic office, which includes, but is not limited to assistance to the full-time and part time coaches, assistant athletic director and student workers. Included in this position are web page enhancements, correspondence and direct marketing efforts to high school and four-year college coaches, scheduling and follow-up of all recruiting appointments and perform other duties assigned by the Director of Athletics.

Essential Duties and Responsibilities:
  • Actively engages the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, promoting unity in diversity, and integrating the Catholic Franciscan Intellectual traditions in courses, programs, and services.
  • Receptionist /Office organization and scheduling.
  • Maintains and orders supplies needed for the athletic department.
  • Upkeep of reception area.
  • Organize and maintain athletic and student insurance information.
  • Organize and maintain student/athlete personnel information.
  • Organize and maintain athlete physicals.
  • Prepare correspondences and direct marketing efforts to be sent to high schools.
  • Obtain and prepare Coaches and Student Development meeting minutes.
  • Help with implementation of recruitment marketing strategy to increase enrollment.
  • Distribute, and collect college mail.
  • Make copies.
  • Other duties as assigned.

Required Qualifications

Qualifications:
  • High school diploma or general education degree ( GED ); or three to five years’ related experience and/or training; or equivalent combination of education and experience.
  • Must be able to work with confidential information in a manner that is ethical and sensitive.
