About the Position:

The CSUF Extension and International Programs (EIP) unit collaborates with University departments and colleges on unique programs for students from the University, the community and from around the world. We are seeking an exceptional individual to join our team as the Administration and Operations Coordinator (Administrative Support Coordinator II) to support EIP and the Office of the Dean/Associate Vice President. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, inclusiveness, equity, openness, flexibility, integrity and kindness.

Under the general direction of the Director, provides administrative and operational support for a broad array of functions to support EIP business operations and Office of the Dean/Associate Vice President. Responsibilities include but are not limited to EIP mail operations, purchasing, P-Card reconciliation, maintaining EIP memberships & subscriptions, budget-related processes, correspondence preparation, administrative support for advisory and committees, maintaining office systems, equipment, and services. Collects, summarizes, and tracks data on a variety of administrative functions and reports for EIP organization, personnel, budgetary activities, and business operations. Evaluates, analyzes, and recommends operational and process improvements and solutions. Independently makes decisions on day-to-day operations regarding multiple work unit projects and priorities. Assumes responsibility for a broad range of projects. Coordinates special projects; responsible for the full scope of project activities including initiation, execution, coordination, implementation, and evaluation. Serves as one of the Department IT Coordinators supporting EIP Telecom services, IT device ordering, data systems access, and account management activities. Assists with coordination of EIP asset management and maintenance of security access system. Supports travel operations for EIP staff and program units. Coordinates the logistics of department events, and assists with facilities maintenance requests. Coordinates and monitors workflow to ensure priorities are set and completed. May act as Lead to student assistants and/or temporary staff. Other duties as assigned.


Essential Qualifications:
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.

Preferred Qualifications:
Bachelor's degree preferred. Experience working in a higher education setting. Comprehensive knowledge of the CSUF infrastructure, policies, and procedures. Ability to handle fluctuating demands and willingness to proactively learn about processes to better respond to inquiries and perform job duties.
