ACADEMIC COORDINATOR-PROVOST & ACADEMIC AFFAIRS



Job Summary:

This is an on campus position to provide support within the Office of the Provost to the Associate Provost for Graduate and Professional Studies, which includes administrative support to the Office of Extended Studies, Center For Civic Engagement, and the Honors Director. Provide project management and logistical support for a variety of academic and event programming for the Provost Office. Facilitate course registration process for a variety of extramural and summer programs. Assist with the coordination of community engagement events and programing. Prepare and distribute agendas, attend meetings, take meeting minutes, and provide discussion items and materials in support of academic committees and special initiatives. Collaborate with budget liaison for processing of faculty additional pay and invoices. Receive confidential information and inquiries and prepare correspondence.

Supervision:

This position reports to the Associate Provost, Graduate and Professional Studies .

Essential Duties:

  1. Coordinate academic needs and event support for the Office of Graduate and Professional Studies, which includes Graduate Council. Maintain and update the professional licensure database and notification process. Assist in coordinating special events and programs for graduate students (Graduate Welcome, Commencement and Graduate Hooding, graduate social events), scheduling meetings, taking minutes, and preparing correspondence and reports in support of the Associate Provost and Graduate Council Chair.
  2. Provide administrative support for the Office of Extended Studies. Assist with communications to faculty, students, and external audiences regarding summer and winter course offerings. Facilitate program and course registration process for extramural students, IC Advantage, and pre-college summer programs. Manage form completion process for families with pre-college participants. Provide logistical support during June and July when pre-college program participants are on campus. Respond to inquiries in the OES and summer college email account. Provide project management support in the design and implementation of professional studies programs.
  3. Provide administrative support for the Center for Civic Engagement (CCE). Provide logistical support for events including voter registration, volunteer activities, and other CCE-sponsored experiential learning activities. Support program assessment needs. Represent CCE on committees or working groups as necessary.
  4. Assist with the transition of the Honors program to completion by maintaining the roster of Honors courses; communicating with honors faculty as requested; and providing course information to the Deans’ Offices and Registrar’s Office. Plan and coordinate special events sponsored by Honors. Provide logistical support in the planning of off campus events/trips for the Honors Program.
  5. Collaborate with budget liaison for processing of faculty additional pay and invoices for all Graduate & Professional Studies programs.
  6. Assist with benchmarking and data collection for all Graduate & Professional Studies programs.
  7. Provide administrative support for report preparation for all Graduate & Professional Studies programs.
  8. Provide administrative support to other Office of Provost team members as needed, which may include collaborating on event support (e.g., Commencement, Whalen Academic Symposium, Oracle Society, and Phi Kappa Phi), maintaining websites or social media, or providing direction to student employees for additional support in completing administrative tasks.
  9. Participate in special projects and perform additional duties as assigned.
  10. Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse, and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students, and visitors to the College. Promote a flexible, collaborative, and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.


Qualifications:

Bachelor ’s degree and a minimum of 2 years’ of previous office experience or the equivalent combination of education and experience; strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment, excellent project management and organizational skills, solid working knowledge of various word processing, spreadsheet and database software applications and comfort with learning new academic-related technology and software; ability to multi-task and process sensitive and confidential information; previous experience maintaining and reconciling office and project budgets, and good attention to detail are required. Previous experience working with on-line information systems, Microsoft Outlook including the calendar function, and experience working in a college or university setting are preferred.

Work Environment:

Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent will be required to operate a personal computer and associated equipment such as computer printers and other office equipment used in the day-to-day office operations. The incumbent may be required to deliver or pickup various correspondences or materials from other on campus locations and must be able to walk, drive, or make alternative transportation arrangements.
