Job Summary

The Program Coordinator is responsible for coordinating and administering the year-long Case-Based Learning course for 1st and 2nd year medical students, and multiple weeks of the Frontiers curriculum. This position is responsible for administering the day-to-day operations of the curriculum by coordinating all educational and administrative activities related to the implementation of these courses under the direction of the course and curriculum directors

The Program Coordinator is also responsible for coordination of the Scholars Program for ~200 medical students. This position is responsible for tracking student progress in the program from acceptance in the 1st year through 4th year graduation.

This position also provides administrative support to the Senior Associate Dean for Curriculum and the Curriculum Office.

Essential Functions

Course Management - Case-Based Learning (CBL) course for 600 1st and 2nd year medical students; Frontiers course for 1st and 2nd year medical students
  • Work with the Course Directors to coordinate the daily implementation of the curriculum. Communicate regularly with Course Directors and students to keep them current on schedule and/or content changes
  • Book and update room and special setup schedules
  • Communicate to the Director any major problems that arise
  • Coordinate live sessions with Course Directors and course faculty
  • Plan and provide day-of setup materials (Case folders, table numbers, voting cards, etc). Communicate session details with Tech services and housekeeping (for setup), faculty, and students
  • Build and maintain course website using Blackboard Learn; work with faculty to acquire updated handouts and videos and post these and other related instructional materials
  • Communicate announcements about course deadlines to students as well as any changes in course schedules. Communicate with faculty, staff, and students about any course issues, policies, procedures. Communicate regularly with teaching faculty about upcoming sessions
  • Participate in special projects and other such duties as may be related to the ongoing development or administration of the curriculum including accreditation activities under the direction of the Curriculum Director
Assessment Preparation and Administration – Work with Course Directors to prepare and administer written exams and quizzes for each course. Proctor other course exams as needed.
  • Coordinates all aspects of the Year 1 and Year 2 CBL written assessments. Prepare, distribute, and collect all assessment materials from students
  • Set up and administer CBL assessments
  • Distribute and collect assessment materials from grading faculty
  • Proctor other Year 1 and 2 exams as needed
Scholars Program Coordination - Under the direction of the Curriculum Director, work with Scholars Program Dean and faculty directors to assist in the execution of the Scholars program tracks for medical students.
  • Facilitate communication between students and program faculty
  • Collect student applications, schedule interviews, send program related communications
  • Plan and schedule all program related sessions
  • Track student program progress and provide updates to the Faculty Directors and Scholar Dean
Administrative Support to the Senior Associate Dean for Curriculum and Curriculum Office:
  • Administrator for the Senior Associate Dean for Curriculum including calendar maintenance, scheduling of all meetings, workshops, and the organization of special projects
  • Function as part of a team with other course/program coordinators. Cross-train on other job duties and participate as needed
Required Qualifications
  • Bachelor’s Degree or Equivalent
  • 1-2 years preferred experience in educational administration or higher education setting
Preferred Qualifications
  • Possess excellent oral, written, organizational, and interpersonal skills
  • Possess demonstrated ability to prioritize daily assignments and demonstrate initiative in handing daily issues.
  • Must be proficient in Blackboard Learn, MS Office - specifically MS Word and Excel, Outlook, and be able to learn additional software platforms
  • Problem solving skills
  • Possess strong interpersonal and collaborative skills
  • Ability to multi-task and work in a deadline-oriented environment
  • Demonstrated team player, willing to take on new responsibilities as needed and to provide support for other co-workers
