The basics of this position:

Under the direction of the supervisor, serves as the College’s chief student records officer. Plans, manages, supervises, and implements policy and procedures related to all student academic records. Collaborates with the functions of institutional research, marketing and communication, information technology, legal counsel, and curriculum, and assessment to meet student needs and ensure compliance with national and state reporting requirements and legal processes.

What you'll do:
  • • Prioritizes the importance of student learning and student success by serving as a resource for College leadership relative to academic affairs functions, in particular by ensuring accuracy in the integrity, storage, retrieval, and reporting of student academic data.
    • Ensures compliance with all required federal, state, and College policies and processes related to the mission and responsibilities of the office.
    • Establishes and maintains appropriate retention of records and trains faculty, staff, and academic leaders on policies, laws, and regulations that pertain to the retention of records.
    • Provides leadership and expertise as a super-user for the enterprise resource planning (ERP) software as the chief student records officer and as the institutional custodian of current and archived academic program and course inventories, ensuring accuracy and security of official records, including both electronic and manual records and files; provides training to faculty and staff on ERP navigation, functions, and responsibilities relevant to their role with the College.
    • Provides leadership in the exploration and implementation of improvements to new or existing processes according to the needs of the College, such as wait-listing, ERP functions, training for staff, and sharing of information.
    • Responsible for incorporating technology that supports classroom processes and education records.
    • Oversee and prioritize the involvement of Academic Affairs technical support in the execution of district-wide technical efforts such as ERP upgrades, reporting system conversions, etc.
    • Oversees articulation of transfer and articulated credits and develops communication tools to inform students. Maintains awareness of state requirements pertaining to transfer articulation and oversees the implementation of state-wide requirements in the ERP.
    • Serves as the College’s administrator with the National Student Clearinghouse and approval officer for online access to the National Student Clearinghouse (NSC) data system; ensures that information is correctly reported to NSC for the purposes of financial aid disbursement; develops and implements enrollment reporting transmission schedule to align with STLCC attendance processes and Department of Education requirements; resolves errors and discrepancies as necessary in a timely manner.
    • Oversees College-wide compliance to schedule building guidelines; identifies and implements strategies to achieve consistency and accuracy; provides leadership and training to employees charged with schedule building responsibilities.
    • Serves as the College compliance officer for the Family Educational Rights and Privacy Act (FERPA) and provides training to individuals across the College in relation to their role.
    • Creates and communicates the registration and withdrawal calendar based upon the established College Academic Calendar.
    • Collaborates with a range of college personnel to develop, implement, and maintain effective integrated system for the collection and dissemination of data pertaining to enrollment and registration functions.

    • Serves on various committees, including but not limited to the College’s academic calendar committee, task forces, and search committees.
    • Maintains current and archival forms pertinent to student admission, registration, transfer, and graduation.
    • Reviews applications for graduation to certify that degree and certificate time limits, as well as all catalog requirements have been met. Oversees the graduation process pertaining to the student’s academic record and all resulting communication with students. Where possible, implements automation.
    • Participates in all required and relevant College training and development opportunities.
    • Represents the College at federal, state, and local-level meetings, seminars, conferences, and professional organizations, taking a leadership role where appropriate.

    • Provides leadership, direction, and development for professional staff in the department.

    • Performs normal supervisory functions: trains; instructs; assigns work to personnel; manages and makes recommendations regarding the budget and all associated budgets; recommends transfers, promotions, wage increases, terminations; arranges for additional work or need for overtime; explains and enforces College policies, safety rules, and regulations; evaluates performance.
    • Perform other job-related duties as assigned.
Education, experience, and other requirements:

• Master’s Degree or equivalent
• 5+ Years of progressively responsible experience in a higher education setting

Preferred Qualifications:

• Relevant experience with student records preferred
