Job Description:

Champlain College's Registrar's Office is growing! We are seeking 2 Record Systems Coordinators. As key members of the Registrar's Team, successful candidates will be organized, analytical, innovative, and detail-oriented self-starters with excellent communication skills. Under the supervision of an Associate Registrar, the Coordinators will ensure the accuracy, integrity, and security of student academic records.

The Records Systems Coordinators will be responsible for the daily operations of the Registrar's Office as it applies to student records and academic systems. These dynamic roles will have primary responsibilities in on-campus course scheduling, classroom management, and transfer credit evaluation and articulation.

Key Responsibilities
  • Evaluate and articulate incoming on-campus transcripts as well as alternative credit such as AP, IB, and Military
  • Exercise exemplary professional judgment
  • Manage the College's Enrollment Verification process
  • Assist in Curriculum Management for all academic divisions
  • Manage the on-campus class schedule and Finals schedule
  • Reconcile all final grades
  • Assist in graduation processing and Commencement
  • Guide returning students through the readmittance process
  • Have a key role in registration
  • Audit records to ensure compliance
  • Maintain the confidentiality of education records in accordance with FERPA and College policy
  • Promote and maintain a strong working relationship with partner offices (i.e. Admissions, Academic Divisions, Financial Aid, Student Accounts, Compass Student Services)
  • Provide a high-level of customer service to students, families, and institutional partners
  • Willingness to take on additional responsibilities when needed to support the team and institution



Requirements:

  • Excellent organizational, problem-solving, and planning skills and the ability to maintain meticulous attention to detail while juggling competing priorities
  • Excellent interpersonal, oral, and written communication skills with a strong customer service orientation
  • The ability to use judgment, patience, and decisiveness in a high-volume, high-activity, and often pressure-filled environment
  • Possess a willingness and ability to support a diverse and inclusive campus community
  • Highly proficient in standard word processing, spreadsheet, and database software
  • Ability to perform job duties efficiently and accurately with minimal supervision, effectively prioritize work, multi-task, and easily adjust to changing work priorities and deadlines
  • Ability to work both independently and as a member of a team
  • Bachelor's degree required
