Department Summary

The College of Arts and Sciences (CAS) is the hub of learning, research, and academic excellence at the University of Oregon. CAS is organized into multiple Academic Service Units (ASU), each housing staff and managers who provide administrative, strategic, and operations support to multiple academic departments in CAS.
Position Summary

Positions filled from this posting will have administrative and operational responsibilities in an assigned Academic Support Unit (ASU), with varying amounts of time spent directly serving faculty or on other operational duties. These positions are exciting opportunities to work in teams, hone administrative skills, and build experience in higher education!

Faculty Support Coordinators are the primary support position for all faculty personnel processes within the assigned ASU, serving as the primary, day-to-day point of contact for faculty and proactively communicating with faculty about processes, procedures, and deadlines. This position oversees and coordinates all faculty-related processes within the assigned ASU, including faculty searches, tenure track faculty promotion and tenure process, conducting faculty reviews and evaluations, and contract renewal reviews for non-tenure track faculty. In assigned areas, the position is the primary faculty liaison and will provide guidance to faculty related to personnel and pay actions, sabbatical processes, and other employment-related requests. This position also assists the Operations Manager and faculty with special projects as needed.

Operations Coordinators are the primary support position for all operational and logistical processes within the assigned ASU, working to coordinate public-facing events, office operations, employee onboarding, space management, records management, communications, awards and scholarships, student employee hiring, equipment, course materials, and supply procurement. In assigned areas, the position is the primary liaison and will provide guidance to ASU staff, students, and faculty related to these operational and logistical areas. This position also assists the Operations Manager and faculty with special projects as needed.

These positions require strong interpersonal and organizational skills and the ability to prioritize workload. Coordinators will work largely independently, and deal with routine and unexpected matters (some of which are confidential) that require independent judgment calls on a daily basis. These positions interact frequently with the units' faculty and staff, as well as with administrative colleagues throughout the academic and administrative areas of the University in order to provide information or request it from others; explain policies and procedures, and resolve problems in accordance with policies and procedures. Coordinators will need to be culturally competent and sensitive to the needs of multicultural faculty, staff, and students.
Minimum Requirements

  • Three years of office experience which included two years at full performance level and experience generating documents; and
  • Lead work responsibility or coordination of office procedures.

  • Ability to manage multiple priorities, solve problems, and stay organized, with keen attention to detail.
  • Exhibit a high level of interpersonal communication skills to handle sensitive and confidential situations with tact and diplomacy.
  • Ability to understand and follow guidelines, policies, and procedures.
  • Skilled in Microsoft Office, Word, Excel, PowerPoint, and Outlook; ability to learn other specialized software.
  • Demonstrated ability and/or commitment to working with faculty, staff, and students from diverse backgrounds in support of an inclusive, welcoming environment.
  • Ability to work effectively under the pressure of deadlines and competing demands.
  • Adaptability in an environment of change.
    Preferred Qualifications

  • Experience working in higher education.
  • Experience identifying, analyzing, and tracking large volumes of data/information on an ongoing basis while correcting identified discrepancies.
