Position Summary:

The assistant director of alumni and parent relations is responsible for planning and implementing initiatives to engage alumni in lifelong relationships with the University of Puget Sound. The assistant director leads and manages a class-based engagement strategy, class community committee structure in partnership with the Office of Annual Giving, and plans and executive signature event of Summer Reunion Weekend. The assistant director provides staff leadership and support to the Alumni Council's various affinity groups, and leads engagement efforts for a variety of affinities (identity-based communities and shared interest-based communities).

Essential Job Functions and Responsibilities:

  • Lead and manage a strategic classes program and class community committee structure (in partnership with Annual Giving) to promote and instill alumni engagement with the university. Execute a class-based engagement and communications strategy focused on reunion milestones and class community building outside of milestone reunion years.
  • Lead the recruitment and engagement of class volunteers and volunteer leaders of the Class Community Committee. Plans ad a robust class reunion program that facilitates, strong attendance, as well as increased ownership and pride among class volunteer leadership.
  • Implement systems of volunteer recruitment tracking, management, and outcomes, as well as planning and coordination of class-based and reunion-based communications.
  • Provides staff leadership to colleagues managing other class committees, as well as oversight to ensure alignment with overarching class engagement strategy, in order to best support success of those class committees outside this role's direct portfolio .
  • Manage a range of class reunion committees (20th, 25th, 30th, and 50th) , identifying, recruiting, training, and inspiring alumni reunion volunteers and working with committee leadership to facilitate alumni participation. Work closely with the annual giving liaison for these classes to ensure a collaborative approach to shared objectives.
  • Provide staff leadership and administrative support for affinity groups (Greeks, Athletics, identity-based groups, etc.) as well as affinity-based communities without official groups, assisting with meeting planning and program development as well as volunteer recruitment. Facilitate the participation of these groups on the Alumni Council and other engagement activities. Work with and support volunteers as appropriate and provide the necessary oversight and follow-up to ensure successful and timely execution of relevant tasks; staff and support Women's League.
  • Meet all volunteer recruitment and orientation goals set with the director of alumni and parent relations, including the number and categories of volunteers recruited and the number of face-to-face constituent visits made.
  • Manage and direct the planning for Summer Reunion Weekend, meeting all attendance, implementation, and budget deadlines and goals. With director of alumni and parent relations, provide leadership and direction to the campus-wide Reunion Weekend Planning Committee, convening and leading periodic meetings of the groups throughout the year.
  • Work with the director of alumni and parent relations to recruit faculty, university officials, and other administrators for involvement in programming and events. Prepare appropriate briefings and other correspondence to support their participation.
  • Create detailed timelines and flowcharts for programs and events, outlining deployment, deadlines, and revenue/expense budgets. Develop staffing plans to ensure adequate staff support for programs and events.
  • Partner with the director of alumni and parent relations management team to formulate and assess progress towards short- and long-term strategic plans for the Office of Alumni and Parent Relations, as well as University Relations more broadly.

Budget Responsibilities

Responsible for managing the reunion program budget (5060), working with the alumni and parent relations office manager to obtain approval for and to process related expenses. Conduct monthly budget audits to monitor progress toward revenue and expense goals.

Qualifications:

  • At least two years of experience working in alumni relations with a proven track record of volunteer management, as well as program management, development, and implementation;
  • Ability to work and communicate effectively, orally and in writing, with a broad range of internal and external constituents including alumni, students, parents, faculty, staff, and other friends of the university;
  • Excellent project management, organizational, and planning skills as well as superior attentiveness to detail;
  • Experience producing quality publications;
  • Experience planning both small and large scale events;
  • The ability to work independently, solve problems, handle confidential information, and navigate sensitive situations;
  • Experience managing program budgets and expenses;
  • Highly developed computer skills including experience with Word, Excel, and PowerPoint as well as constituent relations software such as Millennium;
  • A bachelor's degree preferred. Equivalent combination of expereince and education considered
  • Ability to respectfully work, communicate and provide leadership within a diverse campus community.


Compensation and Benefits: The anticipated pay for this position is $20.92 - $23.04 DOE. Decisions about starting salaries are made based on the extent and relatedness of the candidate's education and experience and on internal equity and market considerations.
