This Admin Support fulfills a key role in providing clerical, managerial, and administrative support to the Director of Dining Services and his immediate staff. The Admin Support performs and oversees various administrative fiscal and planning responsibilities, including managing the office and its supplies, informing others of services available, coordinating schedules, obtaining knowledge of policies, purchasing, financials, record keeping, and information gathering.

Summary of Responsibilities

  • Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining information requiring knowledge of policies/procedures of assigned and work-related areas.
  • Informs students, faculty, and public of departmental and university services available and answers incoming requests for information.
  • Coordinates the preparation and submission of various reports, including timecards, PAF's, ESAF's, new hire paperwork completion and submission, requisitions, purchase orders, travel requests, index tracking and reconciliations, budget balances, etc. Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures. Coordinates the payroll process, including preparation, submitting, monitoring, and maintaining payroll records.
  • Maintains inventory of office equipment and supplies and administers other office duties as needed which may include supervision of office support.
  • Performs other job-related duties as assigned.10%
  • Attends all assigned meetings, conferences, and activities.

  • Minimum Qualifications

    Graduation from an accredited institution with a bachelor's related to the summary of duties or any combination of education and/or experience totaling four years.

    Knowledge, Skill, and Abilities

    • Knowledge of best practices in events, marketing communications, correspondence, and appropriate matters of etiquette in various settings.
    • Skill in managing and scheduling through Microsoft Outlook.
    • Knowledge in navigating UVU Marketplace and creating requisitions.
    • Skill in office methods, techniques, practices, and procedures.
    • Skill in the use of computers and computer software applications including word processing, spreadsheets, email, internet, databases, and presentations.
    • Skill in the preparation and interpretation of Microsoft Excel reports, charts, graphs, tables, and formulas.
    • Strong interpersonal, problem-solving, and decision-making skills.
    • Exceptional customer service orientation and phone etiquette.
    • Perform a variety of administrative support duties with minimum supervision.
    • Follow oral and written procedures and instructions.
    • Communicate effectively, verbally, and in writing.
    • Must meet and deal with people of diverse backgrounds.
    • Maintain confidentiality of highly sensitive information.
    • Must demonstrate professional demeanor and poise.
    • Ability to plan and anticipate potential changes and act accordingly.
    • Ability to enact strategic changes affecting multiple stakeholders, including high-level university leadership.
    • Must work weekends on occasion as necessary, including evenings, and holidays.
