Position Summary

An exciting opportunity to provide support to graduate students is available in the Office of Biomedical Education at the Jacobs School of Medicine and Biomedical Sciences .

As the Graduate Program Coordinator, you will:
  • Communicate with and support incoming MD-PhD students throughout the admission process and coordinate student services for currently enrolled students. Oversee all steps in the admission process, from application to faculty committee review, interviews, and onboarding and enrollment. Support the Program Director, Steering Committee, and students with fellowship appointments, tuition scholarships, lab rotations, and transitions to and from the MD and PhD stages. Coordinate biweekly MSTP Seminar. Monitor student academic performance and progress in laboratories.
  • Communicate with and support incoming students during the admission process for the PhD Program in Biomedical Sciences ( PPBS ). Working with the Admissions Director, oversee all steps in the admission process from application to faculty committee review, interviews, and onboarding and enrollment. Support the Program Director and students during the PPBS year with graduate assistantship appointments, tuition scholarships, lab rotations, and match to PhD laboratories.
  • Provide admissions and administrative support for the Summer Undergraduate Research Experience ( SURE ).
  • Serve as first point of contact for all applicants; utilize strong communication and customer service skills to respond to applicant questions and foster application completion.
  • Serve as the HUB course scheduler for graduate BMS and MST courses; liaise with the Office of the Registrar as needed.
  • Represent the school at virtual and in-person recruitment fairs and assist with OBE -hosted events such as open houses.
  • Serve as a key member on the team that plans and executes special events such as commencement, white coat ceremony, research days, and accepted student programming.
  • Perform other duties as assigned.

Minimum Qualifications
  • Bachelor’s degree with 2 or more years of related experience in higher education or combination of education and experience will be considered.
  • Must possess excellent verbal and written communication and customer service skills.
  • Excellent organizational skills, attention to detail, and ability to multi-task and manage priorities.
  • Technology proficiency in Microsoft Office programs, with the capacity to learn new programs/technologies.
Preferred Qualifications
  • Master’s degree preferred with related experience in higher education, preferably in admissions and/or student services at a large public university.
  • Technology proficiency in Microsoft Office programs and UB student information and CRM systems, with the capacity to learn new programs/technologies.
