Overview

The Princeton Center for Language Study (PCLS) is seeking an individual to provide detailed, day-to-day operational assistance for the Center as a whole, during the academic year. The individual will serve as a receptionist in the PCLS suite and also be responsible for a variety of administrative support duties for the staff. Specific work hours are to be determined but the team would prefer someone generally available during the morning hours with flexibility to change to afternoons occasionally for scheduled event coverage.



Responsibilities

  • Staff the front desk of PCLS, answering general questions from lecturers and students, routing emails, calls, and drop-in inquiries to the SCAD, Assistant Director, or Director as necessary
  • Communicate with visitors, lecturers, and staff through correspondence in meetings and email
  • Receive and sign for mail and packages
  • Handle all routine ordering from Prime Marketplace to restock office supplies, beverages, and other goods
  • Coordinate presentations, workshops, colloquia, and stakeholder meetings, including initiating meeting polls and email followup
  • Organize catering for receptions, presentations, workshops, and colloquia, including pre- and post-event preparation and cleanup
  • Handle all printing and digital distribution of documents relating to committee presentations, workshops, and other meetings
  • Coordinate with SCAD and Print & Mail to manage event publicity through the website, department CampusGroups page, printed brochures, flyers, posters, etc.
  • Submit and follow up on work orders for space maintenance needs like lighting, heating/cooling, cleaning, etc.
  • Approve or deny requests in EMS to use PCLS space as appropriate


Qualifications

ESSENTIAL:

  • A minimal education level of a high school diploma / GED, or three years of relevant experience
  • Ability to tactfully handle confidential information
  • Comfort with Zoom videoconferencing
  • Comfort with Doodle, When2meet, and other meeting poll tools
  • Experience using Microsoft Office Suite
  • Strong written and verbal communication skills
  • Attention to detail
PREFERRED:

  • Prior experience working in a higher education environment
  • Bachelor's degree or higher
  • Interest in languages and cultures
