We are seeking a Sr. Administrative Coordinator who will provide complex administrative and project support to the Division Chief and faculty in the Division of Pediatric Radiology. This individual will provide a range of administrative support on a daily basis such as managing calendars, scheduling meetings, assisting faculty, directing calls and preparing reports.


Specific Duties & Responsibilities

  • Provide administrative support to the Division Chief, including calendar management and projects assigned.
  • Provide support to all Peds faculty as needed.
  • Effectively prioritize requests for meetings and resolves scheduling conflicts.
  • Triage incoming telephone calls throughout the division and reading rooms.
  • Manage medical licenses for all faculty and keep track of renewal dates.
  • Provide administrative support for conferences and meetings.
  • Order catering and organize lunch meetings.
  • Assist with travel accommodation arrangements.
  • Research and education coordinating.
  • Manage the Zayad conference room schedule.
  • Perform SAP transactions such as paying invoices, travel reimbursements and submitting supply orders.
  • Provide administrative support for conferences and high level meetings.
  • Special projects as requested by the Division Chief.
  • Run daily reports in Epic for Peds Fetal MRI appointments.
  • Assign Fetal MRI patients to Peds Neuro or Body Radiologist.
  • Keep track of Faculty CPP accounts.
  • Process credentialing documents for all faculty members at affiliated hospitals.
  • Coordinate and assist with of Advance Training Specialty Program (ASTP).
  • Organize Continuing Medical Education (CME) lectures.
  • Distribute CME documents to speakers for upcoming lectures.
  • Upload monthly CME documents in CloudCME.
  • Ensure the division is in CME compliance.
  • CME recordkeeper.
  • Assist the Clinical Manager and Radiology Assistant with any administrative tasks.
  • Serve as Clinical Fellowship Coordinator.
  • Update New Innovations with monthly fellowship schedule and evaluations.
  • Submit weekly payroll request to HR for moonlighters.
  • Process all faculty reappointment paperwork for JH, JH Bayview, HCGH, Mt Washington, Sibley and Suburban.
  • Submit monthly payroll request for Mt Washington Pediatric Hospital.
  • Track hours worked for all Fluoro cases at Mt Washington Pediatric Hospital.
  • Upload fellow schedule to Qgenda (monthly).
  • Arrange interviews for any incoming Fellow, Faculty or Staff.
  • Process any work orders for the division.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Starting Hourly Pay Rate Range: $20.40-$28.00-$35.70 (Commensurate with experience)

*JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
