Position Purpose

Manages ticket operations and sales for the athletics department including sales configuration in the AudienceView software, staff hiring, training, scheduling and supervision, and implementing and generating strategies to improve efficiency and increase revenue. Works with the Associate Director of Financial Operations for Ticketing and Sales to build revenue strategies and implement new initiatives. Participates in other athletics department sales.

Skills & Knowledge
• Strong interpersonal and management skills.
• Ability to interact effectively with Athletic Ticket Office patrons.
• Accuracy and attentiveness to detail.
• Working knowledge of computers especially the Windows platform.
• Ability to work under pressure
• Working knowledge and familiarity with Microsoft Word, Excel, and or equivalent desktop applications.
• Willingness to work a schedule that regularly includes evening and weekend hours.
• Interest in athletics preferred.
• Knowledge of AudienceView sales and CRM software a plus

Description

Ticket and Sales Management


• Manage the sale of tickets to home contests including delivery, instruction for use/download, and access to the game.
• Facilitates and executes timelines for seasonal ticket sales including on-sale dates, renewal periods, and deadlines for season and single game tickets.
• Applies knowledge of seating characteristics and merits of each venue in advising patrons on ticket purchases.
• Processes complimentary and donated ticket requests and follows department, Ivy and NCAA regulation for the use and preparation of these tickets.
• Generates daily and end of game reports as needed.
• Researches and proposes pricing strategies and revenue generating options.
• Participates in all athletics department sales including fitness passes, lockers, merchandise and other related functions.

Description

Ticket Staff and Game Management


• Hires, Trains and schedules event/game day and student staff. Ensures payroll is correct and assists staff in working with Human Resources and payroll departments.
• Supervises a team seasonal temporary sales and operations staff who assist with administrative functions in the Sales Office during regular business hours. Delegates assignments and is responsible for setting employee goals, assessing performance, and providing feedback.
• Oversees weekly event ticket preparation to ensure game-day is set up and ready for the game manager.
• Oversees ticket related game-day operations for home varsity contests including complete set up, and break down of hardware and software.
• Collaborate with marketing, compliance, partnerships, and facilities staff to ensure game-day operations run smoothly.
• Directs and oversees player complementary admission procedures to ensure compliance with Ivy and NCAA regulations.
• Develops ad hoc actions to respond to last minute seating problems.
• Reconciles receipts and unsold tickets, complimentary pass lists, student attendance, scan rates, attendance, and other information related to attendance from game ticket sales.
• Generates daily and end of game reports as needed.

Description

Software/Database management/administration


• Assists with the maintenance of the sales office website through the ticketing software.
• Provides relevant statistics to other Athletic Department offices based on data extracted from sales software.
• Maintains the Ticket sales mailing and email lists; ensures that all patron information is entered and current.
• Merges duplicate accounts and eliminates obsolete accounts.
• Establishes accounts for system users with appropriate access limitations
• Applies knowledge of the Athletic Sales Office ticketing software and assists in system administration.

Description

Office Management


• Maintains inventory of office supplies
• Maintains files for upcoming and past events. Annotates files regarding complimentary tickets and seats which need to be held for technical requirements, VIP seating and other reasons.
• submits financial documentation for reimbursement and consignment ticket sales.
· Participates in the daily oversight of operations for the Sales Office
• Troubleshoots software problems within AudienceView and for hardware including Ticket scanners, printers, and computers.
• Serves as liaison to the various Athletic Department offices to explain Ticket Office policies and procedures relevant to day-to-day operations and upcoming events.
· Ensures policies and procedures are implemented, approved, and monitored for the sale and allocation of tickets for ticketed varsity sports.
· Creates and maintains exceptional customer service environment- has a demonstrated knowledge of sales office operations.
• Generates and implements long term and/or short-term procedural modifications. Provides information and necessary support services to other areas of the Athletic Department.
• Reconciles cash receipts, cash boxes, and change funds for daily operations.
• Responsible for ongoing communication with ticket purchasers, including on sale and renewal deadline notifications, date and time changes and other communications relevant to ticket purchasers.
