Job Description

Position will support VPA’s Department of Film & Media Arts and work closely with the department chair to support the department and its programs. The administrative specialist is primarily responsible for budget management and reporting, processing travel arrangements, course scheduling, building management and classroom scheduling, office management and internal/external communications. The position serves as a point of contact for the department chair, faculty, students, and other units on campus. The position must be able to effectively and accurately deliver information about college and university policies, processes and available resources to these groups.

Qualifications

Bachelor’s degree or equivalent combination of education and experience. Considerable prior experience in administrative work. Academic background is preferred.

Job Specific Qualifications
  • High level of organization skills, ability to multi-task and prioritize, excellent written and oral communication skills, Word/Excel and Outlook.
  • Knowledge of PeopleSoft is preferred.
Responsibilities
  • Financial Support: Work closely with the department chair to manage all aspects of the department budget, financial activity and related processes including; payroll requests and approvals, employee reimbursements, guest artist contracts, e-procurement, pro-card reconciliations, etc. Prepare and analyze financial reports/data and make recommendations about expenditures and budget development. Work with department chair to improve processes, policies and communications. Serves as liaison to various departments within the College and the University.
  • Academic Support: assist in the development of faculty load worksheets; review with department chair and assist to maximize space and faculty time; oversee the scheduling of Department of Film and Media classes.
  • Support faculty in travel options for individual and group travel, secure pricing, prepare appropriate documents and coordinate scheduling.
  • Facilities Support: Building manager for Shaffer. Coordinate with appropriate offices for maintenance and repairs. Coordinate building hours and card/key access.
  • Manage department chair calendar and keeps chair workload and assignments on target to meet related deadlines.
