Job Description

The W. P. Carey School of Business Undergraduate Programs Office is committed to the success of our students during their time at ASU and beyond. We are looking for a service-oriented individual who is committed to serving a diverse student body and can incorporate a “Business is Personal” attitude. A successful candidate will have strong technical and organizational skills, a “How can I help?” approach, excellent time management skills, and be able to work independently as well as collaboratively.

Student Support Specialists are a specialized team within the Undergraduate Advising Office that jumps in and is willing to help out whenever and wherever is necessary; this includes handling all incoming calls and emails for our undergraduate advising office, working independently with students in-person as they enter the advising office, assessing and researching transfer credits, attending Camp Carey, assisting with new student orientations, and attending W. P. Carey Convocations. In addition, a candidate must be comfortable with change and be able to adapt quickly. 

Essential Duties

  • Provides assistance and support to students and visitors utilizing their knowledge of Arizona State University, as a whole, as well as the W. P. Carey Community
  • Supports students through complex academic situations to aid in their understanding of policy and procedures (including, but not limited to: withdrawals, overrides, and student accounts)
  • Offers referrals for nonacademic issues and/or concerns to students and visitors (including, but not limited to the offices of: Student Health, Counseling and Consultation, and Financial Aid)
  • Handles case management through Salesforce and SOS by reviewing incoming student requests and responding to inquiries, or distributing inquires to the appropriate team
  • Constantly remains up-to-date on changes and upcoming events within the university and WPC, this involves online research, making connections with other ASU offices, and developing open communication across all of ASU to best service students
  • Splits time administratively supporting current students as well as incoming transfer students by evaluating transcripts to interpret degree audit reports, as well as provide exceptions when needed; this may also include communicating with various ASU offices to post exceptions
  • Participates in recruitment/admissions, retention, career development, and student engagement activities, including teaching a student success course, attending Camp Carey, assisting at new student orientation, and attending W. P. Carey convocations
  • May advise in regards to the Business Minor and work closely with non-business advisors to assist non-business students with business concentrations
  • May supervise student employees on special projects
  • Performs general administrative and clerical duties (including, but not limited to: organizing mail, coordinating offices, delegating supplies, rescheduling appointments, etc.)

Days and Schedule: Work hours commensurate with the Undergraduate Programs Office hours: Office is open Monday through Friday from 8:00 am – 5:00 pm. Schedule may include some evening and weekend hours based on office events.

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND one year of administrative and appropriate program experience; OR, Five years of progressively responsible administrative and appropriate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Working Environment

  • Use cognitive ability to provide students with an understanding of policies, procedures, and requirements of various degree and certification programs within the school of business, as well as ASU wide policy and procedures
  • Communicate effectively, both in writing and verbally, to develop and update advisement materials in various formats (electronic, hard-copy, etc.)
  • Coordinate and present information to current and prospective students, parents, and visitors
  • Rapidly learn, adapt, and effectively utilize new technology, practices, policies, and methods
  • Embody a, “How can I help you?” mentality and be embedded in a “Business is Personal” culture
  • Work with students independently as well as a large team environment
  • Work extended hours, including evenings and/or weekends as needed
