Reporting to the Assistant Provost, the Assistant Research Analyst is responsible for the collection, cleaning, validation, and management of large data sets used for internal and external reporting, and the coordination and preparation of information and statistical reports for distribution to internal and external stakeholder including marketing surveys.  Additionally, the position will provide administrative support for the department and assist the Research Analyst.

This is a full-time in-region position eligible for hybrid and with the following schedule: Monday-Friday 8:30 a.m.-4:30 p.m. The position may require flexibility to work a staggered, remote or alternate schedule to meet the demands of the work, which could include weekends or evenings. Must be able to work onsite as needed.

Qualifications

  • Bachelor's degree in Educational Research, Behavioral Sciences, or quantitative discipline such as mathematics, economics, political science, statistics, or computer science from an accredited institution
  • Minimum of two years of experience in data analysis and research
  • Working knowledge and experience in data management for research and quality improvement and qualitative data analysis (extraction, manipulation, validation) using business intelligence applications to ensure integrity and accuracy
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to IR and develop conclusions and make recommendations
  • Working understanding of reporting definitions and requirements
  • Excellent written and oral communication skills including demonstrated ability to prepare communications, and reports to non-technical audiences
  • Detail-oriented and highly organized, with the ability to prioritize and manage multiple projects in a fast-paced environment; strong research and problem-solving skills preferred
  • Proficiency in MS Office Suite and experience with statistical software packages such as SPSS, SAS, or R, Adobe Acrobat and Keynote programs
  • Experience with administrative support/office work
  • Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff

  • Ability to handle all information with tact and discretion, recognizing the confidential nature of ArtCenter business and the work of Institutional Research

 

Preferred Qualifications

  • Master’s degree in Educational Research, Behavioral Sciences, or quantitative discipline such as mathematics, economics, political science, statistics, or computer science from an accredited institution
  • Experience with Ellucian Colleague and other higher education related software
  • Knowledge of art and design education policies, procedures, and requirements, as well as student enrollment and tracking processes
  • Experience in an institutional research setting

Essential Functions

  • Data Analysis and Reporting — 35%
  • Assist with new and pre-existing data requests (e.g., general retention and graduation figures), work with the Research Analyst to develop data sets, build analysis and reports and respond to departments and stakeholders
  • Conduct audits and complete extensive data clean-up for Institutional Research including, but not limited to:
  • Collecting data and building data sets
  • Cleaning data sets to ensure their reliability 
  • Cleaning and verifying cohort data in preparation for federal reporting cycle
  • Analyzing data using appropriate statistical methods and programs
  • Maintain records of data analysis and reports and ensure retention follow best practices
  • Conduct DOE annual compliance audit and provide recommendations for updates as needed
  • Using appropriate statistical methods and programs, analyze data and produce reports and executive summaries with direction
  • Provide support for ad hoc institutional research projects; coordinate data and analysis and reporting based on individual department and stakeholder needs

Institutional and External Surveys — 35%

  • Coordinate cross-departmental collection and submission of annual marketing surveys including U.S. News and World Report, Princeton Review, College Board, and Common Data Set, work with companies to provide updates and verify information on applicable college webpages
  • Manage the college’s online course evaluation system, including, but not limited to:
  • Oversee system for survey administration and corresponding communications and timelines
  • Coordinate work group (consisting of staff from CEE, Enrollment Services, Faculty Affairs, IT, etc.)
  • Develop and maintain marketing campaign and internal webpage with related materials
  • Respond to questions and requests for technical assistance
  • Assist with specialized data analysis and reports on results, including requests for information from Faculty Affairs and the Provost Office
  • Train faculty and staff in the use of the online system and any other processes or services as needed or required
  • Assist with the logistics of surveys including gathering examples of instruments, communications and timelines, and providing support with data analysis and report development

Administrative and Operational Support — 25%

  • Provide administrative support and coordination of Institutional Research related committees and task forces as assigned (Data Committee, etc.).
  • Complete updates to information on the ArtCenter main website as it pertains to institutional research and reporting, coordinate internal webpages of institutional reports available to community stakeholder groups including executives, faculty, and support staff
  • Produce research reports and other materials, and oversee centralized record-keeping and document control (repository both digital and physical) including statistical analysis, data sets, surveys, reports, etc.
  • With direction, conduct research for the department to be apprised of IR-related policy and procedural changes related to IPEDS, WSCUC, state authorization, etc.
  • Research vendors and order equipment and supplies for the department, including for special events and projects
  • Support Assistant Provost and Research Analyst with additional administrative projects as needed

  • Participate in college committees
  • Maintain memberships and active involvement in applicable professional organizations
  • Represent ArtCenter at outside events as necessary and appropriate
  • Other duties as assigned
