This is a full-time benefits-eligible position. Position Purpose

Under the administrative guidance of the Director of Procurement and Materials Management

1. Serves as the department office professional and administrative assistant to include duties such as coordination of office calendar and deadlines, purchasing, inventory, making travel arrangements, creating and distributing correspondence, scheduling appointments, vendor set-up, Ionwave contract management entries, contract document arrangement, UCMarket Training, software purchases, and equipment maintenance. Monitors and assists with special projects. Assist with bid solicitation procedures, document creation and modification, and to support the procurement staff with pre-bid/pre-proposal conferences. Monitors the department’s budgets. Provide financial guidance to UCM staff regarding the status of accounts and approval of expenses. Deposits revenue into appropriate accounts. Collect and record all expenses paid for on the Business Procurement Card. Coordinates insurance coverage. Reviews and updates the State of Missouri surplus authorization spreadsheet.
2. Functions as a customer relations specialist to include providing information about department, bid thresholds and information on website.
3. Serves as the campus liaison for all beverage and snack service issues, equipment issues and issuance of refunds.

Associate degree in accounting, business or related field.

Coursework in procurement or contract management functions is preferred.

Experience

1. Three (3) years administrative assistance experience required
2. One (1) year accounting or budgeting related skills required.
3. One (1) year Demonstrated Experience handling sensitive documents in a secured environment preferred.
4. Experience in a procurement environment preferred.
5. Two (2) years customer service experience preferred.
6. Experience using Banner or other ERP system preferred.
