Job Summary

The Department of Psychological and Brain Sciences in the College of Arts and Sciences at Drexel University is seeking an individual with strong administrative and personnel skills to assist in the administrative management of our academic Department. The Administrative Coordinator reports directly to the Departmental Administrator of Psychological and Brain Sciences with a dotted line report to the Department Head of Psychological and Brain Sciences. The Administrative Coordinator will have exceptional communication and problem-solving skills handling office duties and optimizing office operations. We seek an experienced and professional individual who is highly organized, can work independently, is a good problem solver, and has strong verbal and written communication skills.

Essential Functions

Under the direction of and in collaboration with the Department Administrator(s):
  • Provide administrative support to the Psychological and Brian Science leadership team
  • Coordinate all office services such as ordering office supplies, maintaining office equipment, submitting/ tracking department work orders (telephones, computers, and building maintenance)
  • Serve as communication liaison to the Dean's office, College of Arts and Sciences, and relate important departmental events and achievements (i.e., faculty/student poster and conference presentations, publications, awards, grants, special events) to marketing and communication
  • Independently manage the physical office space and daily physical operations of the Department including but not limited to: mail sorting and distribution; managing offices keys and/or space access; greeting and directing visitors; processing work orders; managing telecommunications needs; ordering supplies; resolving issues with office equipment; acting as a liaison with Facilities and EHS
  • As the first point of contact for departmental guests, greet and direct visitors with a pleasant and collegial attitude; Refer students and visitors to the appropriate office
  • Manage the building conference room reservation, departmental calendar and oversee any departmental schedules such as departmental meetings and events
  • Provide logistical support for departmental events in coordination with other departmental staff
  • Provide support for any departmental listservs, digital files, and physical files. Maintain compliance with university record retention policies
  • Work with external vendors to set up accounts, manage scheduled deliveries of consumables, communicate with account representatives for pricing and issues for department including teaching and research labs
  • Organize and coordinate travel arrangements for faculty and departmental guests including processing honorariums and travel reimbursement
  • Ensure faculty books orders are submitted
  • Provide assistance with processing adjunct stipends term by term for undergrad & graduate program
  • Collect and analyze data; maintain program records and student progress tracking in coordination with the Graduate Coordinator and Program Directors
Required Qualifications
  • High School Diploma or GED
  • 3-5 years of related experience or an equivalent combination of education and experience
  • Strong interpersonal, verbal, and written communications skills
  • Excellent customer service skills and/or related experience
  • Proficient with MS Office including Word, Excel, and Outlook
  • Ability to learn University-specific systems
  • This position requires the ability to switch gears depending on processing and/or project deadlines and remains flexible in order to adapt to changing priorities
  • Must have the ability to work independently as well as collaborative
Preferred Qualifications
  • Associate degree
  • Familiarity with higher education or related field
