Job Description:

The Continuing Medical Education (CME) Office coordinates a variety of medical education conferences and events held at the University of Florida campus as well as various destinations within the state of Florida. This position provides planning services to assist College of Medicine Departments and Faculty with both live conferences and virtual events.

The person in this position will work closely with the primary meeting and event manager in the CME Office and will gain experience in all aspects of the event planning process as outlined below.

Event Planning
  • Work directly with speakers to assist with travel plans, hotel arrangements, and gathering required CME forms
  • Assist with the design and distribution of the marketing pieces as well as design and maintenance of the event websites and event social media
  • Coordinate the event details with the venue pre-conference
  • Create and manage event budgets
  • Contact and coordinate exhibitors
  • Assist with hotel contract negotiations
  • Create welcome emails for participants, exhibitors, and speakers
  • Design welcome packets for participants and speakers
  • Create and distribute evaluations for events
  • Apply for educational grants for events
  • Work on-site at events; other duties in support of preparing and organizing successful meetings
  • Review documentation and verify compliance with accreditation requirements.


Accreditation Administration

Serve as liaison with departmental coordinators for department managed live CME activities. Duties include reviewing application and marketing materials for accreditation requirements, coordinating website and registration services.

Other duties in support of CME as assigned

Work Schedule
  • Monday-Friday, 8:00 am to 5:00 pm
  • Occasional weekend or evening hours associated with coordination of conferences and events


Expected Salary:

$38,000-$42,000 commensurate with education and experience

Minimum Requirements:

Bachelors degree; or a high school diploma and four years of relevant experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.

Preferred Qualifications:

Bachelor's degree in event management or equivalent degree
Conference/event planning experience
Ability to communicate and interact positively and effectively with the CME staff, conference speakers, and attendees
Ability to function autonomously
Ability to quickly learn and take on lead role for certain events
Ability to handle high volume of detail work with accuracy
Ability to handle multiple projects or tasks simultaneously
Function effectively in a fast-paced environment
Understand, interpret, and apply rules, regulations, policies, and procedures
Proficiency with Microsoft Office programs (Excel, Publisher, Word) and Adobe programs
