Job Description
  • Provide general/routine administrative and office support to the Counseling and Social Advocacy Center that includes a broad range of duties to include:
  • Email correspondence
  • Answering phone calls and checking main phone line for voice messages.
  • Transferring phone calls to appropriate contacts
  • Making copies
  • Monitoring incoming faxes and distributing appropriately
  • Processing, sorting, & distributing office mail
  • Ensure that the waiting area is cleaned at the end of each day
  • Overseeing closing and opening procedures for Agency on a daily basis
  • Supervise Student Assistant Staff members including scheduling
  • Provide clinical support to the Counseling and Social Advocacy Center that includes a broad range of duties to include:
  • Maintain appropriate documentation and outcome databases
  • Gather information from clients and caregivers served by the CSAC
  • Updating clinician schedules when necessary
  • Updating CSAC calendar using Room Reservation System and Zoom Session Invites
  • Reviewing clinician calendars and ensuring that all schedules are up to date
  • Monitoring room space at the center and approving room requests for students/staff
  • Greeting clients and guests arriving at the center
  • Directing visitors and notifying staff of appointment arrivals
  • Scanning documentation for client electronic files
  • Manage financial processes through the Counseling and Social Advocacy Center to include:
  • Collecting payment for in-person counseling services
  • Reconciliation of Credit Card Charges in Marketplace
  • Submitting invoices to clients for unpaid services
  • Data entry for monthly billing
  • Manage financial processes through University systems to include:
  • Submitting One Card (credit card) payments to vendors
  • Responsible for all orders of office supplies and project-specific requests
  • Responsible for inputting and managing Requisitions through procurement
  • Process expense reports and input accounting information for staff
  • Performing other duties and responsibilities as deemed necessary and appropriate by the Director

Hiring Range: $16.00 - $17.00 hourly

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Experience working in a mental health or healthcare setting
